The Senior Associate – FF&E is responsible for leading and coordinating all Furniture, Fixtures & Equipment (FF&E) requirements across new store openings (NSO), remodel projects, and existing stores.
The role ensures standardization, cost efficiency, quality compliance, and timely delivery of FF&E packages through close collaboration with Projects, Procurement, Supply Chain, Operations, Finance, Brand Teams, and external vendors.
This position supports corporate growth objectives by strengthening procurement processes, optimizing vendor performance, maintaining brand consistency, and ensuring operational readiness across all locations.
Key Responsibilities:Project Coordination & Planning
- Lead end-to-end coordination of FF&E activities across NSO, remodels, and existing stores through to project completion.
- Develop and maintain FF&E schedules, procurement trackers, and NSO/Remodel updates.
- Ensure alignment between approved designs, budgets, and procurement strategies.
- Forecast bulk requirements (kitchen equipment, furniture, etc.), prepare the order in coordination with Procurement and Supply Chain.
- Frequently monitor warehouse inventory levels and initiate replenishment as required.
- Coordinate with vendors and contractors to obtain timely and accurate invoices. Review invoices for completeness and ensure all supporting documents are attached before Finance submission; resolve discrepancies with Project Managers and vendors (if any)
- Initiate BPM requests for FF&E asset release from warehouse in coordination with Projects, Warehouse, and Operations.
- Arrange mandatory insurance documentation for new store openings.
- Coordinate the compilation, review, and handover of all project close-out documentation to the Operations and Maintenance teams, in close collaboration with Project Managers, ensuring a smooth transition and proper project closure.
- Closely work with Procurement team on the Rate Contract for all the items for NSO and remodels.
- Implement the Procurement Process – Coordinate with Project Managers, Designer and MEP (upon the receipt of final drawings and BoQ) and provide the Purchase Requisition to supply chain to release the PO.
- Resolve procurement challenges related to item codes, contracts, and documentation.
- Support vendor prequalification and performance evaluation processes.
- Monitor manufacturing progress and ensure adherence to approved specifications.
- Assist in contract administration related to FF&E packages.
- Coordinate with Finance for budget allocation and ERP system control.
- Support cost planning and budgeting for FF&E packages.
- Track expenditures against approved budgets and highlight variances.
- Contribute to cost optimization and efficiency initiatives.
- Coordinate with Supply Chain to ensure timely delivery of FF&E items.
- Monitor shipping schedules, customs documentation (if applicable), and warehouse coordination.
- Ensure site readiness prior to delivery and installation.
- Oversee installation schedules in coordination with site teams and contractors.
- Supervise installation of FF&E items to ensure timely delivery of the project.
- Address technical and asset-related issues; coordinate timely rectification with vendors.
- Support final handover and project close-out processes.
- Act as the key point of contact for FF&E matters across internal and external stakeholders.
- Provide regular progress updates to internal stakeholders.
- Coordinate with cross-functional teams, contractors, suppliers, and warehouse teams to resolve operational and technical issues.
- Support development and implementation of standardized FF&E procedures and documentation templates.
- Contribute to continuous improvement initiatives within the Projects function.
- Ensure compliance with company policies, safety standards, and regulatory requirements.
- Maintain accurate, organized, and auditable FF&E documentation.
- Bachelor’s degree in Engineering, Architecture, Interior Design, Supply Chain, Business Administration, or a related field.
