Facilities & Maintenance Senior Officer

We are seeking an experienced and proactive Facilities & Maintenance Senior Officer to oversee the day-to-day operations, maintenance, and safety of company facilities and will be responsible for ensuring all facilities are maintained to the highest standards, coordinating preventive maintenance, managing vendors, ensuring compliance with health and safety regulations, and supporting facility improvement projects.

• Oversee the daily operation and maintenance of all company facilities to ensure a safe, clean, and efficient working environment.
• Develop and implement preventive and corrective maintenance schedules for building systems and equipment.
• Conduct regular inspections to identify maintenance issues and ensure timely resolution.
• Coordinate repair, renovation, and refurbishment projects while minimizing operational disruptions.
• Monitor the condition of HVAC, electrical, plumbing, fire protection, lighting, generators, elevators, and other building systems.
• Coordinate and supervise external contractors and service providers to ensure work is completed according to company standards.
• Obtain quotations, evaluate vendor performance, and recommend cost‑effective solutions.
• Monitor service contracts, warranties, and maintenance agreements to ensure compliance.

• Ensure compliance with local regulations, company policies, health & safety standards, and environmental requirements.
• Conduct routine safety inspections and ensure corrective actions are implemented.
• Support emergency preparedness plans, evacuation procedures, and business continuity initiatives.
• Maintain records related to facility inspections, maintenance activities, and regulatory compliance.

• Maintain accurate records of facility assets, equipment, and maintenance history.
• Monitor inventory levels of maintenance materials and supplies and coordinate procurement when required.
• Ensure proper utilization and maintenance of company assets.

• Assist in preparing annual facility maintenance budgets.
• Monitor maintenance expenses and recommend cost‑saving initiatives without compromising service quality.
• Review invoices and ensure services are delivered as agreed before processing payments.

• Prepare periodic reports on maintenance activities, facility performance, vendor performance, and operational issues.
• Maintain all facility documentation, maintenance logs, service records, and compliance certificates.
• Recommend improvements to enhance operational efficiency, sustainability, and workplace functionality.

• Bachelor's Degree in Facilities Management, Engineering, Business Administration, or a related field.
• Minimum 5 years of experience in facilities management, building maintenance, or property management.
• Professional certifications in Facilities Management, Health & Safety, or Project Management are an advantage.
• Strong knowledge of building maintenance systems including HVAC, electrical, plumbing, fire safety, and building management systems (BMS).
• Good understanding of local health, safety, and environmental regulations.
• Strong vendor and contractor management skills.
• Excellent organizational and problem‑solving abilities.
• Strong communication and interpersonal skills.
• Ability to prioritize multiple tasks and work under pressure.
• Proficiency in Microsoft Office Suite and Computerized Maintenance Management Systems (CMMS) or other facility management software.
