The Assistant will provide personal and administrative support to a busy real estate team, Robert Andrew Millar & Associates ("RAM").

RAM is a La-Quinta-based, friendly, close-knit and ambitious team under the Sotheby’s brand. This role includes assisting with the overall preparation, presentation and sale of homes throughout the Coachella Valley, and ensuring smooth communication between the agent, clients, vendors and other parties involved in a real estate deal.

Effectively completing these tasks often requires strong organizational skills, excellent customer service abilities, and flexibility, especially as unique tasks from painting walls to researching city building permits may arise. A vehicle and strong driving record is required for transportation to and from properties. The assistant can expect to work 40+ hours per week, receiving $26-30 per hour.

Responsibilities
  • Client Management:
    Answering phone calls and emails from potential clients, scheduling appointments, managing client information in CRM systems, and following up with leads.
  • Transaction Coordination:
    Scheduling property showings, gathering necessary documents for transactions, coordinating with inspectors, appraisers, and title companies, and assistance with management of contract deadlines.
  • Administrative Tasks:
    Maintaining filing systems, preparing paperwork for closings, updating spreadsheets, managing calendars, and handling office administrative duties.
  • Marketing Support:
    Creating and supporting web pages, assisting with social media marketing, creating email campaigns, managing online property listings, and generating market reports.
  • Event Support:
    Assisting with open homes, launch events, modernism week and other marketing events as needed.
Skills
  • Excellent communication and interpersonal skills;
  • Enthusiasm and willingness to jump into unexpected & urgent tasks
  • Strong organizational and time management abilities
  • Proficiency in Microsoft Office and/or Google Workspace
  • Detail-oriented with high accuracy standards
  • Ability to multitask and prioritize effectively
