OverviewThe Assistant Registrar supports the effective management, accuracy, and security of student academic records while providing essential services that help students navigate enrollment, academic progress, and degree completion. In this role, the Assistant Registrar works collaboratively with faculty, staff, administrators, and students to uphold institutional policies, ensure regulatory compliance, and deliver high-quality service across all record-related functions.
Responsibilities- Support the accuracy, integrity, and security of student academic records, contributing to a seamless student experience from admission through graduation.
- Assist with the evaluation and posting of transfer and advanced‑standing credit, maintain and archive academic records, and support key processes such as registration, degree audits, grade processing, and graduation certification.
- Help manage the technical and functional operations of the student information system, including enrollment controls, prerequisite screening, and system security.
- Provide technical assistance to students using online registration platforms and ensure accurate, up‑to‑date course and enrollment information is available to faculty and academic departments.
- Monitor student academic progress, prepare probation notifications, process transcript and enrollment verification requests, and generate reports that support institutional planning, student success, and retention efforts.
- Assist with planning commencement activities and support initiatives to identify and re‑engage former students who may still be eligible for degree completion.
- Interpret and apply FERPA regulations, assist in training faculty and staff on related policies and procedures, and support the development of internal forms, documentation, and process improvements.
- Other responsibilities consistent with the scope of the position may be assigned as needed.
- Associate’s Degree required;
Bachelor’s Degree preferred. - Three years of relevant experience, including at least two years of direct oversight experience in registration and/or records.
- Proven record of working successfully with a Sun Guard Banner system or another student information system;
Community College knowledge and experience preferred. - Strong technical and organizational skills, excellent attention to detail, and ability to collaborate effectively across departments in a fast‑paced, student‑focused environment.
- Not eligible for visa sponsorship; applicants must be currently authorized to work in the United States on a full‑time basis.
$45,000 annually with full benefits.
