Job Summary

Functions under the direction of the Manager or Supervisor and may support multiple department leaders. He/she is responsible for performing a wide variety of administrative duties requiring independent judgment, ingenuity and initiative, assisting the business functions of the Departments, including the maintenance of stats, data collection and analysis. The Clinical Administrative Assistant is able to independently perform job functions and maintain information of a confidential nature.

Core Responsibilities and Essential Functions
  • Provide specialized administrative support for physicians, APPs, and clinical staff.
  • Maintain physician patient schedules and meetings; provide reminders about upcoming events or barriers.
  • Request and send patient medical records, and follow up on requests.
  • Scan required records into the EMR.
  • Assist APP and clinical staff with appropriate requests to maintain patient flow through the clinic.
  • Route telephone calls from patients, physicians, or other healthcare providers/facilities appropriately.
  • Review and assist with orders in EPIC/BEACON; obtain any required information for the provider.
  • Submit and follow up on tissue testing to outside sources.
  • Prepare the patient schedule for providers for the next day.
  • Take and transcribe dictation; operate office equipment.
  • Maintain patient confidentiality at all times.
  • Read and interpret medical orders.
  • Support department activities; create and maintain spreadsheets for tracking department data, information, requests, and supplies.
  • Manage confidential documents in accordance with policies and procedures.
  • Participate in department meetings, committees, and events.
  • Compile financial, statistical data and reports as assigned.
  • Review and monitor all order transcription, reminder screens, scanning, and missing diagnostic and pathology reports.
  • Provide training on administrative assistant duties and medical record requests.
  • Coordinate inbound/outbound specimens, authorizations, and referral WL management.
  • Sort and distribute daily mail.
  • Perform other duties as assigned.
  • Comply with all Wellstar Health System policies, standards of work, and code of conduct.
Required

Minimum Education
  • High School Diploma, General or GED, General, Bachelors or other preferred qualifications.
Required Minimum Experience

Minimum 3 years front office and/or hospital experience.

Required Minimum Skills
  • Office coordinator supporting a physician office (preferred).
  • Effective communication skills (telephone, verbal, email, and written).
  • Effective interpersonal relationship skills.
  • Calendar management, strong organization and coordination skills.
  • Skill in computer applications.
  • Skill in gathering and reporting information.
  • Ability to handle multiple projects simultaneously and set priorities.
  • Ability to establish and maintain effective working relationships with other employees and the public.
  • Ability to work under pressure, communicate and present information.
  • Ability to read, interpret, and apply hospital and department policies and procedures.
  • Ability to identify problems, organize and analyze information.
  • Working knowledge of basic medical terminology.
