AP & Payroll Data Entry Clerk

American Window Film is seeking a detail-oriented AP and Payroll data entry Clerk to manage certified payroll reporting and support our accounts payable and general accounting functions. With operations in 11 states and a team of over 200 employees, American Window Film handles a wide range of construction projects, including publicly funded contracts that require timely, accurate compliance reporting to state and federal agencies.

This role is key to keeping us compliant and our vendor payments running smoothly.

• Track the certified payroll cycle from contract setup through final CPR submission
• Organize prevailing wage timesheets and paystubs by project
• Enter pay data into CPR systems (LCPTracker, WA L&I, CA DIR, eMars, and others)
• Verify prevailing wage rates and fringe benefits are applied correctly
• Submit fringe benefit statements, labor compliance checklists, and affidavits
• Submit weekly apprenticeship training fund contributions and monthly union contributions
• Communicate with customers and general contractors on CPR status and document requests
• Contact government agencies to resolve CPR issues as needed
• Work with operations and contracts teams to ensure all prevailing wage projects are captured
• Audit certified payroll records monthly for accuracy

• Enter and process vendor bills in Net Suite
• Match invoices to purchase orders and receipts, and route for approval
• Reconcile vendor statements and resolve discrepancies
• Set up and maintain vendor records, including collecting W-9s
• Respond to vendor inquiries on payment status
• Assist with payment runs and maintain organized AP records

• Record certified payroll and related payments in Net Suite
• Assist with payroll cycles and related general ledger entries
• Support month-end close tasks as assigned
• Learn and use the American Window Film estimating system for certified payroll and other duties
• Other related duties as assigned

• Associate's or bachelor's degree in accounting or a related field, or equivalent experience
• 1–3 years of accounts payable, payroll, or general accounting experience
• Certified payroll experience a plus, including LCPTracker, CA DIR, or similar systems
• Net Suite or similar ERP experience preferred
  
  Working knowledge of accounting and the general ledger
• Strong attention to detail and ability to meet weekly deadlines
• Team player, willing to help outside core duties as needed

PAY RANGE: $25 - $27/hour
