The Planning, Development, and Research department is looking for a Program Coordinator to provide support for two grant programs -- Metro’s 2040 Planning and Development grants and Community Placemaking grants. Both programs aim to serve near- and long-term community needs in the region. This person will interact with community interested and engaged in both programs and ensure smooth and effective operation of each, aligning them with Metro’s broader 2040 Growth Concept, economic development, and racial equity goals.
They will be an active member of a team of staff focused on enhancing the overall quality of life for communities through strategic programs that prioritize human and social capital.
- Track award cycles, grant deliverables, and key deadlines for both grant programs.
- Review grantee progress reports and coordinate approval process with Grant Managers.
- Analyze existing processes to identify challenges and implement system improvements that enhance efficiency and accuracy and grantees’ experience with Metro.
- Monitor contract compliance and project milestones.
- Collect data to assist with evaluating outcomes and support continuous improvement of the grant programs.
- Coordinate review of and process invoices and payment requests with Grant Managers, ensuring proper documentation and timely payments. Ensure compliance with applicable rules and other requirements.
- Assist with preparing and executing grant awards, including setting up and working with spreadsheets, creating supporting documentation and records management.
- Work with grantees to receive required and accurate paperwork, insurance and other requirements.
- Assist with revising grant application materials. Coordinate and support outreach efforts to communities around the region with a focus on those historically underserved by government. Support the grant application review process.
- Provide administrative program support, including advisory meeting assistance, schedule and manage logistics for in-person, virtual and hybrid meetings, event planning, presentation development, clerical duties, and securing and maintaining office equipment and supplies.
- Contribute to creating and maintaining program standard operating procedures.
- Create and maintain standardized templates, checklists, and documentation to ensure consistent and efficient program operations.
- Support Metro’s core values of public service, excellence, teamwork, respect, innovation and sustainability.
- Comply with Metro and Metro’s visitor venues policies, procedures and applicable work rules; applicable law; and collective bargaining agreements.
- Perform other duties as assigned.
- Familiarity with the geography and communities in the greater Portland region
- Proactive and takes ownership over tasks, seeing things through to proper completion
- Strong people skills, including communicating effectively, both orally and in writing
- Ability to work independently and as part of a team
- Understanding of contract administration policies and practices
- Understanding principles, policies and legislation applicable to land use planning, economic development, and arts and culture in the Metro region.
- Ability to perform analyses and make recommendations
