Pay: $25.00 - $30.00; based on experience
Location:
Fully remote – candidates must be local to the Chicagoland area. First day onsite required to pick up equipment and verify system access.
We are seeking a detail-oriented and customer-focused Onboarding Specialist to coordinate all aspects of the new hire onboarding process in a dynamic, fast-paced HR environment. This role partners closely with HR, IT, and external vendors to ensure a seamless onboarding experience while maintaining full compliance with organizational and regulatory standards. The ideal candidate thrives in remote settings, demonstrates exceptional communication and organizational skills, and handles confidential information with discretion and professionalism.
Responsibilities- Manage and execute all phases of new hire onboarding for assigned business units
- Partner with HR, IT, and vendors to ensure timely system access and equipment setup
- Review, verify, and process electronic onboarding documents in compliance with regulations
- Conduct and monitor background checks, fingerprinting, and credential verifications
- Coordinate physical clearances with Occupational Health and external vendors
- Troubleshoot technical or process-related onboarding issues
- Maintain complete and compliant employee records in accordance with legal standards
- Audit onboarding data for accuracy and timeliness
- Communicate onboarding progress with candidates, hiring managers, and HR partners
- Support process improvement initiatives, documentation updates, and data audits
- Stay current on HR trends and compliance best practices through ongoing learning
- Bachelor’s degree or equivalent work experience
- HR experience, preferably in onboarding or talent acquisition
- Strong technical proficiency with Microsoft Office Suite and applicant tracking systems
- Excellent written and verbal communication skills
- Proven ability to manage high-volume onboarding tasks in a fast-paced environment
- Experience with compliance processes and background check coordination
- Highly organized, detail-oriented, and customer-service minded
- Ability to work independently and collaboratively across teams
- Preferred: HR Certification (PHR or equivalent)
