Office Administrator/ Coordinator
Aerodigm Wealth is an independent registered investment advisory firm serving affluent and ultra-high-net-worth families. Over the past decade, we have grown to more than $1.5 billion in assets under management primarily through client referrals and trusted professional relationships. We believe great wealth management is built through coordinated advice, exceptional service, and long-term trust. Our growth trajectory of 20%+ annually reflects the trust we earn, not the marketing we buy.
THE ROLEWe are not looking for an entry-level administrative assistant. We are looking for an experienced client service professional who can serve as a trusted operational partner to advisors and deliver an exceptional client experience. This is a role for someone who takes pride in being the person others depend on when details matter.
The Client Service Associate is the operational backbone of our client experience. You are often the first point of contact families have with Aerodigm, the person who ensures every onboarding is seamless, every meeting is prepared, and every follow-up is closed.
You don’t just process requests; you anticipate needs before they surface. In a firm where trust compounds through small, consistent actions, this role is where much of that compounding happens.
High performers will have opportunities to take on increasing responsibility as the firm scales.
You will work directly alongside our advisory teams, serving as the critical link between clients, advisors, and custodians. The right person for this role understands that there is no such thing as a small detail when you are managing someone’s life’s work.
OUR CORE VALUESEvery person at Aerodigm is measured against four values that function as our hiring filter, our performance standard, and our termination threshold. They are listed in intentional sequence:
- Compound Trust - We surface mistakes early, give honest assessments, and treat every interaction as a deposit in an account that took years to build.
- Sacred Stewardship - We treat every client relationship as a generational covenant. We plan for the family we haven't met yet.
- Earn It Every Day - Mastery is a daily obligation. Credentials got you in the door; they don't keep you here.
- No Solo Acts - We hire people who are exceptional individually and extraordinary collaboratively. Coordinated effort always outperforms fragmented brilliance.
If these values resonate as a standard you already hold yourself to, keep reading.
DUTIES & RESPONSIBILITIES- Own the end-to-end new client onboarding process - account opening, documentation, portal setup, and custodian coordination - ensuring every family's first experience reflects the quality of the firm.
- Proactively communicate with clients, advisors, and custodians via phone, email, and written correspondence, serving as a reliable and responsive point of contact.
- Prepare and organize client meeting materials, reports, and follow-up documentation with precision and timeliness.
- Deliver anticipatory service: troubleshoot issues before they elevate, schedule and coordinate meetings, and serve as the liaison between all parties involved in a client's financial life.
- Maintain accurate and up-to-date client records in CRM systems, ensuring nothing falls through the cracks.
- Establish and support client access to digital portals, mobile applications, and reporting platforms.
- Execute client-specific special projects that support more predictable and coordinated financial outcomes.
- Collaborate across the Diamond Team to ensure seamless delivery of tax, estate, investment, and risk coordination for every family.
- 3-7 years of experience in a client service role within an investment advisory firm, RIA, family office, or professional services…
