Executive Assistant to the Conference Treasurer

This is a fully onsite role at the Conference office in Lakeland working alongside an exceptional team!

The Executive Assistant performs a range of administrative support services. This role entails handling highly sensitive issues and data with the ability to work under tight deadlines while maintaining high levels of confidentiality and efficiency.

Key Responsibilities
  • Coordinates all aspects of the Treasurer’s office.
  • Completes a broad variety of administrative tasks for the Treasurer, including coordinating and prioritizing an active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging detailed travel plans, itineraries, and agendas.
  • Serves as gatekeeper for the Treasurer, providing a bridge for smooth communication between the Treasurer’s Office and internal/external departments, demonstrating leadership to maintain credibility, trust, and support with Senior Management.
  • Works closely with the Treasurer for managing and executing a variety of special projects.
  • Prioritizes conflicting needs, handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Maintains discretion and confidentiality in relationships with all Senior Management and Board Members.
  • Schedules, coordinates, and provides administrative, hospitality, and logistical support for office meetings.
  • Assists in creating and managing Word documents, PowerPoint presentations, and spreadsheets.
  • Responds to mail, email, telephone, and fax communications.
  • Maintains inventory and orders general office supplies and hospitality items for the kitchen.
  • Acts as liaison for facility vendors.
  • Performs other general clerical duties.
Experience
  • 5 years as Executive Assistant or Administrative Assistant to Senior Management.
  • Exceptional Microsoft Office Suite skills:
    Word, Excel, PowerPoint.
  • Outstanding communication skills: oral, auditory, and written.
  • Highly proficient in use of appropriate grammar, spelling, and proofreading.
  • Detail-oriented with the ability to prioritize multiple tasks and manage time effectively in a fast‑paced environment.
  • Ability to plan strategically and adapt to changes.
  • Strong decision‑making skills with the capacity to anticipate needs and potential challenges.
  • Experience in maintaining Outlook calendars and schedules, categorizing emails, and organizing meetings.
  • Ability to understand and monitor budgets.
  • Self‑directed and able to work independently to drive projects to completion.
Preference
  • A member of The United Methodist Church.
  • Standard office environment.
  • 80% of time spent in a stationary position in front of a computer.
  • Balance of time spent navigating office among other staff, offices, and routine office equipment (printer/scanner, shredder).
