Description Of Job

The DMV Driver Control Section exists to administer motor vehicle statutory requirements affecting driver’s privileges to compile and house motor vehicle related data and documents through data entry, electronic imaging, and filing. The Front Office Cashiering (FOC) Unit exists to process all transactions in person presented by customers for Driver Control at the Westgate Driver License Office that includes but is not limited to the reinstatement of driving privileges, motor vehicle records (MVR) requests, accepting citation payments, pulling/reconciling cash reports.

We’re hiring a detailed, customer service oriented leader to be our Administrative Assistant III Lead in our FOC unit in Driver Control! Your ability to anticipate the needs of the unit and staff will ensure the workload is distributed correctly and that staff are following policies, providing training as needed. Use your excellent general clerical skills to process requests, review customer documents and process payments.

Responsibilities
  • Work lead – Prioritizes and assigns works, ensures timeliness and quantity meets standards, implements procedures and processes to improve workflow and productivity, develops and provides training, provides feedback and coaching, monitors attendance and competencies of staff and communicates clear expectations.
  • Customer Service and Processing – Assists customers and escalates concerns, reviews and verifies documents to check compliance, and enters data into various systems.
  • Cash handling – Receives and verifies payments and documents, enters information into the appropriate systems, reconciles transactions, and makes deposits.

Minimum Qualifications

Three (3) years of relevant experience in a general clerical and/or cash handling position.

  • Experience providing exceptional customer service, interfacing with a variety of people from many levels within the organization and community.
  • Data Entry including: entering information into a program or database (appointments, contact information, customer records).
  • Regular, daily work responsibilities utilizing equipment and software used in offices i.e. Google Suite and Microsoft Office programs.
  • Regular daily work responsibilities utilizing computer systems, scanners, printers, copiers, fax machines and other technologies.
  • Typing professional emails, letters, reports, briefings, forms, memoranda, etc.
  • Reviewing and comparing data for accuracy and completeness. Gathering specified information and compiling routine reports.

OR a combination of related education and/or relevant experience in a general clerical and/or cash handling position equal to three (3) years.

Preferred Qualifications
  • Previous supervisory or work lead experience.
  • Additional experience with cash-handling, cash management, and/or cash reconciliation.
  • State experience in a regulatory customer service role.
  • Proficiency with Google Suite.
  • Experience with providing on the job training to staff.
  • Demonstrated written communication skills.
  • Proficiency with data entry.
  • Experience with providing feedback or coaching to staff and managing employee performance.
