We are currently recruiting for an Estates Support Officer to join a busy Estates and Facilities Management team based in Preston. This is an excellent opportunity for an organised and proactive administrator with experience in estates, facilities, property or a similar environment to provide essential support to the day-to-day running of maintenance and facilities services.

The Role As an Estates Support Officer, you will oversee the day-to-day service and Computer Aided Facilities Management (CAFM) repair portal, providing effective administrative support to the Estates and Facilities Management function. You will help ensure reactive and planned maintenance services are delivered efficiently and to a high standard, supporting frontline services and maintaining accurate records throughout the process.

Key Responsibilities

Manage and monitor reactive maintenance requests through the CAFM system, allocating work to appropriate contractors and following requests through to completion.
Provide administrative support to Estates technical professionals and Business Support teams.
Monitor the volume and patterns of reactive maintenance requests and contractor performance.
Collate and interpret engineers' reports, ensuring appropriate remedial action is taken and records are accurately maintained.
Support the coordination of statutory and non-statutory testing and maintenance programmes.
Arrange appointments and monitor contractor progress against agreed schedules.
Input, update and interrogate technical information within CAFM systems.
Support the monitoring and control of estate-related utilities and services.
Assist with site audits where required.
Review contractors' risk assessments and method statements.
Provide a high-quality customer service when dealing with telephone, electronic and face-to-face enquiries.
Process purchase orders, requisitions, invoices and other financial administration within agreed procedures.
Maintain accurate computerised records and filing systems.
Provide general administrative support to ensure the smooth running of the Estates Department.
Work collaboratively with colleagues, contractors and other stakeholders to manage expectations and ensure effective communication.
Support the team in meeting statutory, regulatory, health and safety and data protection requirements.

About You
The successful candidate will ideally have:

Experience working in an Estates, Facilities Management, Property or maintenance environment.
Experience using Microsoft Office, particularly Word, Excel, Access and PowerPoint.
Experience maintaining computerised records and filing systems.
Experience using or working with a CAFM system.
Knowledge of property-related issues and the ability to appropriately direct enquiries.
Experience producing and analysing management information, including tables, graphs or statistics.
Knowledge of planned and reactive maintenance processes.
Experience administering orders, delivery notes, requisitions and invoices.
Excellent communication skills, with experience dealing with internal colleagues and external contractors.
The ability to work effectively both independently and as part of a team.
Strong organisational skills and the ability to prioritise a busy workload.
A customer-focused approach with excellent attention to detail.
Self-motivation and a willingness to develop within the role.

A qualification in Facilities Management or a relevant estate-related technical area equivalent to NVQ Level 4 is desirable A relevant Health & Safety qualification, such as IOSH, and experience/training in contractor permits to work would be desirable.
