The Specialty Training Administrator plays a pivotal role in supporting the coordination, quality assurance, and delivery of postgraduate medical education across East Lancashire Hospitals NHS Trust. The post holder works directly with doctors in training, supporting their clinical placements, induction, teaching programmes, and pastoral needs. They ensure accurate data management, compliance with NHS and GMC standards, and provide comprehensive administrative support to trainees, educators, and programme directors.
Responsibilities- Coordinate and maintain comprehensive systems and databases for Doctors in Training placements and teaching sessions.
- Co‑ordinate within tight timescales a range of administrative activities using word processing, databases, spreadsheets, bespoke systems, and intranet/internet.
- Assist in organising and supporting NHSE NW monitoring visits and quality assessments.
- Collate and compile data for submission in line with NHS and GMC standards; prepare and submit annual Local Education Provider report.
- Disseminate and follow up on GMC National Training Survey results; maintain the Educator Trainers Database and log educator evidence.
- Prepare reports and papers for the Medical Education Manager and stakeholders.
- Attend Medical Education and administrative meetings, take accurate minutes, distribute them promptly, and ensure timely receipt of TSTL reports.
- Communicate regularly and effectively with the Director of Medical Education, Deputy DMEs, SAS Doctor Lead, Clinical Education, PGME Lead, and Medical Education Manager to ensure alignment on training strategy, quality, and compliance.
- Coordinate placements, resolve issues, and support programme delivery, particularly when navigating conflicting priorities or sensitive concerns.
- Act as a key point of contact for doctors in training, consultants, SAS doctors, and primary care educators, providing clear, supportive, and empathetic guidance.
- Administrative experience and maintaining databases and accurate records.
- Experience organising meetings and events.
- Basic awareness of postgraduate medical education pathways.
- Experience working independently and as part of a team.
- Experience in a medical education or NHS environment.
- Experience supporting teaching programmes or inductions.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and demonstrable IT skills.
- Strong written and verbal communication skills.
- Ability to manage time effectively, prioritise tasks, meet deadlines, and anticipate future needs.
- Understanding of administrative systems and processes.
- Familiarity with e‑portfolio systems such as Horus is desirable.
- Knowledge of GMC, NHSE, and Royal College standards is desirable.
