Financial Planning Assistant
Location: Manchester City Centre / Hybrid
Working Pattern: Hybrid, minimum 2 days per week in the office
Contract: Permanent, Full-Time
NJR Recruitment is working with a highly professional financial planning business to recruit a Financial Planning Assistant to work directly for one of the Firm's Directors.
This is an excellent opportunity for an experienced financial services administrator who enjoys working closely with Financial Planners, Advisers and Paraplanners and is looking for a varied role within a professional financial planning environment.
You will support a Director Adviser working with high net worth clients, meaning the role can be varied, complex and high volume. The successful candidate will need to be highly organised, proactive and comfortable managing a significant workload while maintaining accuracy, discretion and an exceptional level of client service.
The RoleAs a Financial Planning Assistant, you will play an important role in supporting the full client journey, from initial enquiry and new business through to implementation and ongoing servicing.
You will work closely with Directors, Financial Planners and Paraplanners, ensuring administration is completed accurately, efficiently and in line with internal processes and regulatory requirements.
Key Responsibilities Client Service & Communication- Act as a professional and helpful point of contact for clients, providers and colleagues
- Respond to client queries by telephone and email, ensuring communications are clear, accurate and timely
- Send reports, information and general correspondence to clients
- Provide advisers with regular case progress updates
- Build strong client relationships through proactive communication and outstanding service
- Process new and ongoing business, ensuring documentation is accurate, complete and compliant before submission
- Maintain accurate client and case records on Intelliflo Office
- Input new business, fee expectations, client details and case information
- Prepare suitability report enclosures, recommendation agreements, provider paperwork and fee agreements
- Prepare and issue Letters of Authority to obtain policy, investment and provider information
- Ensure business processing is completed in line with regulatory and company requirements
- Produce portfolio valuations in line with company procedures
- Liaise with product providers to resolve policy and investment queries
- Ensure agreed client changes are progressed through to completion
- Produce tax packs and other client documentation where required
- Maintain accurate records relating to annual reviews and ongoing servicing
- Monitor new and ongoing business and proactively chase outstanding requirements
- Keep cases moving through to completion
- Work closely with Paraplanners to resolve queries and progress cases
- Maintain accurate and timely updates on internal systems and work logs
- Coordinate adviser diaries, appointments and client meetings
- Support advisers with the preparation and administration required for client meetings
- Deal with incoming and outgoing post
- Set up and clear meeting rooms for client and external meetings
- Liaise with reception to ensure clients and visitors receive a professional welcome
- Support colleagues and wider administration teams during busy periods, including tax year end
- Assist with project-based work and other reasonable business requirements
- Share knowledge and best practice and assist with the training of new or junior team members
The successful candidate will ideally have:
- Strong experience administering investment products, including pensions, GIAs/unit trusts, ISAs, investment bonds and protection
