Performs skilled clerical and legal administrative work, including executing operational or staff functions and supporting legal duties under general supervision of an attorney. Work involves sedentary activities, such as reaching, standing, walking, fingering, grasping, and repetitive motions. Communication skills include vocal exchange and hearing for understanding spoken information. Visual acuity is necessary for data analysis, document preparation, and observing surroundings.

Responsibilities include:

  • Performing complex legal administrative tasks, including preparing and maintaining legal, judicial, financial, and medical records.
  • Handling confidential assignments and supporting community service programs.
  • Managing visitor and telephone inquiries, scheduling meetings, and composing correspondence.
  • Preparing reports, minutes, and specialized documents; assisting with FOI requests, economic development, and risk management documents.
  • Maintaining complex filing and confidential personnel files.
  • Gathering information for meetings and preparing agendas.
  • Managing office supplies and performing related tasks as assigned.
  • Qualifications include:

    • Thorough knowledge of law office procedures, equipment, legal terminology, and document formats.
    • Understanding of departmental functions, policies, and organization.
    • Proficiency in business English, spelling, and complex forms and tables.
    • Ability to solve problems, establish effective relationships, and handle confidential information with discretion.
    • Experience with data entry, computer operation, dictation, and Microsoft Office programs is preferred.

    Education and experience:

    • Graduation from an accredited community college with coursework in office technology or related field.
    • Extensive office assistance experience in a legal or executive office setting.
