Event Manager / Planner
Under limited supervision, manages, directs, supervises, and coordinates athletic activities and related personnel for the Recreation Department. Duties include recruiting, training, program promotion, scheduling, and supervising assigned staff and volunteers. Reports to the Athletic Division Supervisor.
Note: The successful candidate is required to obtain the Certified Youth Sports Administrator (CYSA) certification within six (6) months of hire.
ESSENTIAL JOB FUNCTIONS- Manages, directs, supervises, and coordinates athletic programs and related personnel for assigned sports.
- Provides daily oversight and guidance to assigned staff and volunteers, including assigning and reviewing work, maintaining standards, and addressing personnel matters.
- Promotes programs by securing sponsors, creating press releases and promotional materials, and conducting public relations efforts.
- Maintains accurate inventory of all athletic equipment; ensures equipment is clean, functional, and delivered to appropriate sites.
- Orders awards and distributes them at season’s end.
- Coordinates and administers the player draw process.
- Recruits, trains, and schedules officials and coaches; conducts clinics.
- Orders, sorts, and distributes team uniforms; organizes team photo sessions.
- Attends and monitors games and practices.
- Performs administrative duties related to athletic program management.
- Ensures facilities are maintained and prepared, including fields, gyms, and equipment.
- Assists with budget development, purchasing, registration materials, roster management, and public communications.
- Interacts with a wide variety of internal and external individuals, including co-workers, supervisors, the public, coaches, and officials.
- Performs other duties as assigned.
Requires a bachelor’s degree in recreation or a related field, supplemented by two (2) to five (5) years of experience in recreation programming or an equivalent combination of education, training, and experience.
Certification RequirementThe successful candidate must complete and obtain the Certified Youth Sports Administrator (CYSA) credential through the National Alliance for Youth Sports (NAYS) within six (6) months of hire.
PHYSICAL REQUIREMENTS- Must be able to lift 30–50 pounds and perform light physical labor.
- Capable of sitting, standing, and walking for extended periods.
- Requires visual and auditory acuity to monitor activities and communicate effectively.
- Work is performed both in an office setting and in outdoor/indoor recreational environments.
- May be exposed to varying weather conditions during athletic events.
- Knowledge of athletic program planning and execution.
- Strong leadership and supervisory skills.
- Excellent communication and interpersonal skills.
- Proficiency in office and recreation equipment operation.
- Ability to work evenings and weekends as required.
- Strong organizational and time-management abilities.
- Ability to exercise sound judgment and work independently.
