Base pay range$40,000.00/yr - $45,000.00/yr
Job Summary:
We are looking for a reliable and organized Administrative Assistant to support our construction team. The ideal candidate will play a key role in maintaining efficient office operations, assisting with documentation, coordinating project-related tasks, and providing general administrative support to project managers, estimators, and field staff.
Key Responsibilities:
- Provide administrative support to construction and project management teams.
- Prepare and manage construction documents including contracts, submittals, RFIs, change orders, and job folders.
- Assist in tracking project timelines, schedules, and documentation.
- Maintain accurate filing systems for project records, permits, insurance certificates, and safety documents.
- Communicate with subcontractors, vendors, and clients to gather and relay information.
- Assist with creating and distributing meeting agendas, taking minutes, and tracking follow-up items.
- Coordinate travel, site meeting logistics, and office supply inventory.
- Input and update data in project management and accounting systems (e.g., Procore, Sage, Buildertrend, or Quick Books).
- Support accounts payable/receivable tasks including invoice processing and time sheet collection.
- Monitor compliance documents such as lien waivers, insurance, and licensing.
- Assist with onboarding of subcontractors and new employees.
- Answer phones, route calls, and respond to emails professionally and promptly.
Requirements:
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
- 2+ years of administrative experience, ideally in a construction or related industry.
- Strong working knowledge of MS Office (Word, Excel, Outlook) and familiarity with construction software is a plus.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to multitask and manage priorities in a fast-paced environment.
- Professional demeanor and strong customer service skills.
- Basic knowledge of construction terminology and processes is a plus.
Preferred Qualifications:
- Experience with construction management software (e.g., Procore, Buildertrend, Plan Grid).
- Familiarity with AIA documentation, submittals, or permitting processes.
- Bilingual (English/Spanish) is a plus in many construction settings.
