AMAC collaborates closely with Congress, federal agencies, aviation trade associations, and strategic partners to drive policy, share critical industry insights, and support equitable business participation. Our diverse membership includes airports, corporations, small businesses, and professionals across the aviation and aerospace sectors.

Position

Summary

AMAC is seeking a highly organized and detail-oriented Sponsorship Coordinator to support the Sponsorship Team in driving revenue, strengthening partner relationships, and ensuring seamless sponsor and exhibitor experiences. This role is essential to managing sponsor data, correspondence, deliverables, and logistics throughout AMAC’s sponsorship cycle and annual events.

This is a remote, part-time position averaging 15 hours per week, with increased hours leading up to major events. Flexibility during regular business hours is required. The Sponsorship Coordinator reports to the Vice President of Strategic Partnerships & Membership.

Key Responsibilities Sponsorship Administration & Documentation (50%)
  • Provide administrative, logistical, and operational support to the Sponsorship Team.
  • Maintain accurate sponsorship records, including contracts, invoices, correspondence, and fulfillment documentation in SharePoint.
  • Update sponsorship trackers with real‑time information on commitments, deliverables, payments, and fulfillment.
  • Incorporate 2026 timelines and language into templates, communications, and standard forms.
  • Support the creation and maintenance of SOPs and sponsorship debrief materials.
  • Perform additional tasks as assigned.
Sponsor Communication & Coordination (25%)
  • Assist in cultivating relationships with current and prospective sponsors.
  • Support the creation of proposals, presentations, and agreement summaries.
  • Serve as the first point of contact for sponsor inquiries during business hours, ensuring timely and professional responses.
  • Track correspondence, follow‑ups, and deliverable fulfillment.
  • Support sponsor onboarding and renewals.
  • Maintain sponsor lists, email templates, and contact databases.
  • Collaborate with internal teams (marketing, events, communications, finance) to ensure timely execution of sponsorship benefits.
Event & On‑Site Support (15%)
  • Provide on‑site administrative support at AMAC’s Annual Conference and signature events.
  • Coordinate ticketing, registration, and deliverable tracking for sponsor guests, including high‑visibility programs such as Celebrating Women in Aviation (CWIA).
  • Act as a concierge resource for sponsors on‑site, resolving last‑minute needs.
  • Collaborate with logistics and registration teams to uphold sponsor deliverable commitments.
  • Assist in developing on‑site support plans.
Reporting & Process Improvement (10%)
  • Maintain organized sponsorship records and documentation.
  • Generate weekly status updates on sponsorship activity and fulfillment.
  • Support analysis of sponsorship trends, performance, and ROI.
  • Assist with alignment of AMAC Foundation sponsor ships.
  • Contribute to continuous improvement through feedback summaries and post‑event reconciliations.
Work Schedule & Event Timeline

Estimated Weekly

Hours:

  • January–March: ~15 hours/week
  • April–June (Peak Conference Season): 20–30 hours/week
  • July–December: ~15 hours/week

Preferred Qualifications
  • 2+ years of experience in sponsorship, events, or administrative coordination (trade association or membership organization experience preferred). AMAC welcomes candidates with significant relevant experience, which may be considered in lieu of a bachelor’s degree.
  • Exceptional organizational skills and strong attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with CRM/AMS systems a plus.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a fast‑paced, deadline‑driven environment.
  • Strong time management and project planning capabilities.
  • Ability to work independently in a remote environment.
  • Availability during standard business hours and ability to travel 15–20% for events.
  • Interest in a long‑term (multi‑year) role.
  • Candidates must reside in the Washington, DC metropolitan area.
