Financial Assistant Project Manager Position Summary
Wieland’s Financial Assistant Project Manager’s take ownership and focus on the project financials to produce a successful project. They work directly with all members of the Wieland project team to coordinate the financial portion of construction from Pre-Construction through close-out of the project. They serve as the connector for communication and direction between the Wieland Project Team, Owner, Architect, and Subcontractors.
Our Assistant Project Managers are integral to all functions of construction management which enables them to gain the experience and knowledge to support every project team.
- Interact with owner, project team and subcontractors on a regular basis regarding billing questions or issues and daily requests.
- Maintain positive relationships with clients and subcontractors.
- Oversee document control as it relates to project specific documents, subcontracts, change orders and insurance certificates for your assigned projects. Includes tracking and compliance.
- Prepare owner and subcontract change overs.
- Receive and review all subcontractor AIA billings monthly. Administer and request revisions or additional documentation required.
- Prepare owner invoices monthly, reconciling job cost, sworn statements and AIA billing documents in a timely manner.
- Assist with preparing the monthly Owner/Architect/Contractor (OAC) meeting agenda.
- Oversee and assist with invoice entry.
- Select subcontractor/supplier check selection for payment when owner funding arrives.
- Perform all follow up duties for lien administration for both subcontractors and supplier waiver tracking and electronic filing.
- Perform project projections and budget reconciliation with project team monthly and letting CFO and Regional Director aware of any concerns or trends.
- Create and distribute meeting agendas and minutes.
- Create, manage, and update RFI communications with no significant time lapse.
- Create Bid packages, distribute bid documents, clarify bid related questions as needed with contractors in an efficient manner.
- Schedule and perform post bid interviews to verify scope, schedule, and cost resulting in selection of subcontractors that will represent Wieland.
- Finalize quotation to ownership including general conditions.
- Create, manage, and update submittal log and related workflow.
- Update, manage and distribute drawings and specifications to all parties needed.
- Continually monitor change order management throughout the project.
- Reconcile accounting software and project management software as needed.
- Prepare project Start-Up meeting and update as changes occur.
- Assist with closeout documentation for owner files, including punch list, as-built drawings and documentation in a timely manner.
- Complete internal project closeout documentation as it relates to lien waivers and subcontractor reconciliation.
- Maintain and monitor project files to ensure easy retrieval.
- Attend and prepare documents for all start-up and closeout meetings, including Contract Finalization, Warranties, Operation and Maintenance manuals, and As-Built drawings.
- Assist with project set-up as it relates to the budget and owner contact value.
- Update schedule and monitor subcontractor compliance.
- Assist with project buyout as it relates to creating a budget, and issuing subcontractors.
- Communicate and provide training and support for all project teams.
- Be willing to participate in training and improvement teams.
- Perform additional assignments per owner and project executive’s direction.
- Be willing to travel to project sites and all other regional office locations/project location.
