Under general supervision, and according to established policies and procedures, this position provides excellent patient care by performing or assisting in a variety of medical procedures and tests—including vital signs, various treatments, administering injections, and venipuncture. The role also includes excellent customer service duties such as greeting patients, answering the phone, and directing callers appropriately. Responsibilities span patient registration, scheduling appointments, collecting insurance co‑pays and deductibles, verifying insurance, recording financial activity, and accounting for all transactions completed on each shift.
Essential Functions and Responsibilities- Respond promptly, professionally, and courteously to all customers’ needs.
- Cooperate and communicate effectively with all patients, families, and staff.
- Contribute to continuous quality improvement efforts.
- Prepare examining rooms, including turning on computer terminals and stocking rooms with supplies.
- Organize forms for physicals and other examinations.
- Work collaboratively with providers to assist in providing care to patients.
- Collect patient history.
- Prepare patient and necessary equipment/supplies for visit.
- Document all interventions, patient/family responses, medication dispensed or prescribed, vital signs, etc. in patient chart and/or computer system.
- Administer EKGs, PFTs, immunizations, medicines, draw blood, etc. as directed.
- Obtain approval for and phone in prescriptions as directed.
- Complete lab slips and referral forms as directed.
- Assist with routine procedures for gynecological exams, physicals, and office visits, etc.
- Take telephone messages from patients, return messages, and provide information as requested/directed.
- Function collaboratively with all staff to ensure continuity of care.
- Assist and escort patients as needed to exam rooms and onto/off from exam tables.
- Provide for the age‑specific needs of the population served according to departmental standards, as evidenced by observation, documentation, and feedback.
- Register patients in the computer upon arrival, ensuring that all demographic and insurance information is current and accurate for appropriate claims filing.
- Code appropriate diagnosis and procedures based on the daily encounter form completed by the physician/provider upon patient departure.
- Scan, file, and process medical records according to practice guidelines.
- Retrieve medical records for patient visits, correspondence, telephone messages, and to meet the needs of the physician/provider.
- Prepare all patient medical records for visit per practice guidelines.
- Collect payments to cover co‑pays, deductibles, and other appropriate fees from patients prior to departure.
- Schedule patient appointments, make necessary follow‑up calls, and send appointment reminder cards.
- Run all necessary reports and complete sign‑off procedures at the end of the shift.
- Maintain current knowledge on insurance/coding information via communication with the Manager and billing office.
- Develop and maintain knowledge regarding the billing system, scheduling, collections, etc.
- Maintain effective verbal and nonverbal communication with staff and patients.
- Receive, document, and deliver telephone and other verbal messages professionally, courteously, and promptly to appropriate personnel per practice guidelines.
- Serve as the primary information resource for all clerical aspects of office operation.
- Organize time and prioritize effectively.
- Maintain strict confidentiality related to patient information.
- Maintain regular and punctual attendance.
- Adhere to infection control/safety guidelines and maintain accreditation standards.
- Perform other related duties as assigned.
- High school diploma or equivalent and six months experience as a medical assistant.
- High school diploma or equivalent and completion of one of the following programs: medical assistant, emergency medical technician, nurse assistant, licensed practical nurse, or armed services medic program.
- Certified Medical Assistant.
- American Heart Association (AHA) BLS Certification (may be required at management discretion).
- Electronic medical record experience.
- Experience with insurance billing procedures.
- One-year experience working in a medical office with multiple providers.
- Previous experience working in a medical office of the same specialty.
