Job Title

Office Associate, Senior

Job Purpose

To manage the financial operations of the Early Care & Education Center (ECEC). This role is responsible for maintaining and monitoring the ECEC budget, processing parent contracts and payments, and overseeing the financial transactions to ensure accuracy, compliance, and alignment with institutional policies.

Essential Duties and Responsibilities
  • Oversee parent/child contracts: meet with parents to explain and facilitate signing of annual contracts, ensuring parents are fully informed and holding families accountable for any financial obligations.
  • Create and print annual contracts and calendars aligned with school or program schedules.
  • Financial Management & Tracking:
    • Spreadsheets & Budgeting: create spreadsheets to track tuition payments and monitor center budget; compile and submit next year’s budget and tuition fees.
    • Payroll Deduction Management: submit monthly payroll deductions for parents who opt in; support part‑time employee hiring.
    • Tuition & Payment Tracking: daily checks of payments via Touchnet, logging, communicating discrepancies, sending late payment notices.
    • Tax Letters & Receipts: issue tuition, related tax letters and receipts to parents.
    • Financial Oversight & Purchasing:
      • Meal Checks & Foundation Accounts: manage deposit of meal checks, keep foundation accounts balanced, provide financial reports.
      • Expense Management & Purchasing: approve P‑card charges, expense reports, and oversee purchase of large equipment.
  • System Management:
    • Touchnet and website updates: collaborate with Financial Services to address Touchnet issues and update tuition rates on the website.
    • ECEC website management: ensure online information remains accurate and up‑to‑date.
  • Communication & Customer Service:
    • Send Flex receipts monthly to parents; respond to termination emails from Student Financial Services.
    • Send late notices, handling fee and payment discrepancy communication.
  • Website Management: update and proof web pages for Dean’s Office.
  • Financial Processing: prepare and submit non‑PO expense reports for the Dean’s Office.
  • Contract Administration: draft, route, and track service contracts; coordinate signatures and ensure compliance.
  • Event Planning & Logistics: coordinate catering, space reservations, AV needs, REVP tracking, and on‑site support for Dean’s events.
  • Communications & Mailings: assemble and mail invitations, thank‑you letters, and mass email campaigns.

Minimum Qualifications

Education: Associate’s degree, or equivalent combination of education and experience.

Experience: 1 year progressively responsible, work‑related experience in a related field.

Desired Qualifications

Experience working with Wyo Cloud and Touchnet.
