Job Purpose
The Property Receptionist at Pinellas County Housing Authority is responsible for providing exceptional front desk service and administrative support to ensure smooth operations within the property. This role is key in creating a welcoming environment for residents, visitors, and staff, while effectively managing inquiries and facilitating communication across departments.
Key Responsibilities- Greet and assist residents, visitors, and staff in a friendly and professional manner.
- Answer and direct incoming phone calls, emails, and other correspondence to the appropriate departments or personnel.
- Maintain a tidy and organized reception area, ensuring it is welcoming and presentable at all times.
- Assist with scheduling appointments and coordinating meeting room bookings.
- Provide general administrative support, including filing, data entry, and managing office supplies.
- Handle resident inquiries and concerns, escalating issues to the appropriate property management staff as necessary.
- Ensure compliance with all company policies and procedures, maintaining confidentiality and security of sensitive information.
- Support property management with tenant communications and notices.
- Assist in the preparation and distribution of reports, newsletters, and other documents as required.
- Participate in team meetings and contribute to continuous improvement initiatives within the property management team.
- High school diploma or equivalent is required.
- An associate degree in business administration, hospitality, or a related field is preferred.
- Minimum of 2 years of experience in a receptionist or administrative role, preferably within the real estate or property management sector.
- Experience working in a customer service-oriented environment is essential.
- Familiarity with housing authority operations or public housing programs is an advantage.

- Excellent verbal and written communication skills, with a professional demeanor.
- Strong organizational skills and the ability to manage multiple tasks efficiently.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment such as copiers and fax machines.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Strong interpersonal skills with the ability to interact effectively with tenants, staff, and external partners.
- Problem-solving skills and the ability to address tenant inquiries and issues promptly and effectively.
- Ability to work independently and as part of a team in a fast-paced environment.
