The Project Coordinator provides high-level administrative support to the sales team by entering, managing, and tracking quotes and orders. The Project Coordinator will communicate about multiple sales/project-related tasks with Project Managers and the Sales Team. Employees in this position serve as liaisons between the Sales Team, the Clients, and the Vendors by playing a key role in supporting the team. The Project Coordinator will cross-train across different departments to ensure a full understanding of the basic Operating Procedures.
Responsibilities- Coordinate and manage customer service tasks, including providing pricing and Stock availability to Clients, Entering Quotes and orders into the system, and following up on the status of Reserves and Quotes.
- Processingquote requests using our internal system(MLS) and recording project details in the company's System.
- Expediting reserves, backorders, and lead times with vendor teams.
- Managing existing reserves and backorders using vendor tools such as weekly open order reports.
- Following up with clients regarding Reserves, Quotes, Orders, CFA status and Payment.
- Notifying the project manager when vendor or client negotiations are needed to secure a project.
- Ensuring and confirming all submitted quotes are accurate and suitable for clients' and projects' end-use requirements.
- Manage e-mail and phone communications with clients and vendors to ensure sales functions are completed.
- Notify the team of any changes or delays to potential projects.
- Monitor, respond,and distribute incoming communications via e-mail, phone and internal Messaging software (Slack) promptly.
- Understands and interprets technical requirements about product specifications and project end-use requirements. (Training will be provided)
- Collaborates with the Sales team to ensure they have all pertinent information as it relates to the client, potential project, and orders.
- Attends all mandatory meetings, training, and events.
- nteracts with customers via telephone, email, text, or in-person to provide support and information on products or services.
- Stays informed and updates job knowledge by studying new product descriptions and participating in training and educational opportunities.
- Assists with specific client projects, ensuring that the sampling team has the information needed to find suitable products.
- The Project Coordinator serves as overflow member for the Samples Department as needed
- Performs other duties as assigned.
- Excellent interpersonal and communication skills (both written and verbal)

- Expertise in Microsoft Office Suite
- Strong organizational skills and attention to detail.

- Strong analytical and problem-solving skills.
- Self-starter; takes initiative to complete tasks on or before deadlines.
- Previous industry experience and/or a strong interest in Interior Design preferred.
