Job DescriptionProvide administrative support for assigned Executive Officer or Vice President, including but not limited to maintaining the executive's calendar, handling correspondence, maintaining files and records, and coordinating travel arrangements. Exercise discretion and the highest level of professionalism while representing the executive office.
- Anticipate the needs of the executive(s) and pro-actively provide or recommend solutions
- Maintain a high level of confidentiality along with an advanced degree of judgment and discretion
- Oversee the executive’s calendar, including making complex travel arrangements and coordinating with a variety of parties and resources to arrange meetings and meeting space
- Develop and maintain administrative processes that improve accuracy and efficiency, with the utmost customer service in mind
- Receive, screen, and route incoming phone calls; accurately record messages as necessary.
- Greet visitors in a friendly and professional manner; ascertain their business need, provide assistance and/or route visitor to the appropriate contact.
- Compose correspondence, memos, and other related documents
- Create and revise presentations with executive-level quality
- Prepare standard and ad hoc reports as needed.
- Accurately take dictation, record meeting minutes, and the like.
- Other duties as assigned.
- Must be at least 21 years of age.
- Bachelor’s degree or the equivalent in training and experience preferred.
- Must have a minimum of five (5) years of recent and relevant experience.
- Must be proficient in Microsoft Office applications.
- Must be detail-oriented and highly organized with the ability to effectively handle multiple projects/tasks simultaneously.
• Must have excellent communication skills. - Must be able to obtain/maintain any necessary licenses and/or certifications
