Clinical Administrative Coordinator - New England Neurological Associates, Lawrence MA
Hours: 40 hours weekly, Monday-Friday 8am-4:30pm

Summary:
This role focuses on providing administrative and business support to the organization in order to achieve operational goals. The role involves clinical administration duties such as long‑term strategic planning, determining strategic issues and opportunities, prioritizing and tracking investments across practices, allocating resources, making decisions regarding practice growth, and developing a need to accomplish the practice’s vision. The role provides daily business activity support in a hands‑on environment under supervision.
Job Overview: Under general supervision, the position supports clinic/office activities and provides administrative support for clinical providers. The Coordinator assists with workflow operations, maintains documents, manages project tasks, provides high‑level customer service, and contributes to revenue cycle, clinic operations, and patient experience.
Preferred Qualifications:
- High School diploma or equivalent.
- Two (2) years of experience supporting customers.
- Bilingual (if applicable).
Duties and Responsibilities:
- Schedules patient appointments, including follow‑ups, testing, labs, and surgical booking.
- Assists with scheduling template creation and changes.
- Answers phones, triages calls, responds to patient requests, takes messages in office or call center setting.
- Greets and checks‑in patients; verifies demographic and insurance information.
- Assists with revenue cycle clearance - registration accuracy, referral management, insurance verification.
- Collects copayments.
- Prepares medical records and documentation for patient visits, loading information into EMR.
- Takes active role in monitoring patient flow and communicating delays to patients and providers.
- Assists with billing charge entry and reconciliation.
- Completes general office work: faxing, filing, mailing, correspondence, copying, ordering supplies, calendar management, mail distribution.
- Provides general clerical support to department physicians.
- Participates in performance improvement projects.
Physical Requirements:
- Frequent sitting, occasional standing/work; lifting 10-15 lbs.
- May be exposed to dust and typical office‑like discomforts.
- Manual dexterity for computer keyboard operation; required ability to see screen and read reports.
- Requires hearing instructions from physicians and clinical staff.
- Some exposure to hazardous materials (blood, etc.).
Skills & Abilities:
- Good oral and written communication skills.
- Computer literacy: email, Microsoft Office, scheduling applications.
- Excellent interpersonal and organizational skills.
- Ability to handle multiple projects and prioritize tasks.
- Flexibility in work assignments.
Knowledge of third‑party billing. - Ability to maintain confidential medical information.
Pay Range: $18.81 - $23.51 (hourly rate per established range)
