Business Context

Headquartered in League City, TX, INEOS Olefins and Polymers USA is one of the largest producers of Olefins, Polyolefins, and High-Density Polyethylene Pipe in North America. The business includes the product lines Ethylene, Propylene, Butadiene, Polypropylene, Polyethylene. Manufacturing sites include Chocolate Bayou Works (Alvin, TX), Battleground Manufacturing Complex (La Porte, TX), Carson (Carson, CA), and Hobbs (Seminole, TX) with a corporate office in League City, TX.

In addition, the business oversees a wholly owned subsidiary, WL Plastics, which produces HDPE Pipe in 10 plants across the US with headquarters in Fort Worth, TX.

Main Purpose Of

The Role

The executive administrative assistant supports the CEO, CFO and General Counsel as well as, intermittently, other Senior Leaders. The position provides high-level administrative support managing complex and confidential responsibilities that enable these executives to operate strategically and effectively. The Executive Assistant oversees daily workflow, exercises sound judgment in decision-making, and ensures the seamless coordination of executive-level activities. The ideal candidate must have a strong willingness to learn, possess a great attitude, be a team player, and have the ability to multitask and work independently.

A great degree of personal initiative, strong interpersonal skills, and the ability to prioritize are required.

Responsibilities and Accountabilities
  • Provide daily administrative support to associated levels of the organization.
  • Coordinate executive-level meetings.
  • Handle highly sensitive and confidential material and maintain confidentiality.
  • Assist in the preparation of PowerPoint-based presentation materials for executive-level meetings.
  • Arrange an executive's complex (global) and detailed travel plans and itineraries.
  • Reconcile business expenses.
  • Maintain departmental filing system both electronic and hard copy.
  • Maintain database to track key legal and commercial contracts.
  • Work on ad hoc projects as assigned or needed.
  • Manage an executive's calendar and scheduling of appointments.
  • Format and send formal correspondence.
  • Manage time in such a way to be able to adjust approach to resolve problems quickly in response to changing priorities and unexpected events (occasionally working outside core working hours).
  • Establish and maintain strong working relationships with members of executive leadership team, senior employees and other administrative staff both in the US and internationally.
Skills & Knowledge Required

Education/Experience

  • At least 10 years of administrative assistant experience, with at least 5 years supporting in an executive administration role.
  • High School Diploma or equivalent required. Additional education is preferred but not required.

Skills/Competencies

Technical Skills
  • Strong skills in Microsoft Word, PowerPoint, Excel, and Outlook.
  • Fluent in the use of travel websites to book travel, hotels, etc.
  • Strong organizational skills with an ability to manage multiple tasks, priorities, and deadlines. This includes regular and irregular/special tasks.
  • Knowledge of SAP and Sharepoint.
  • Notary Public Commission certification preferred.
