Customer Service Coordinators are known as our front office liaison. They help facilitate the front office. Client Coordinators are responsible for greeting clients and making them feel welcomed. Client Coordinators must be personable with the clients, must always smile and maintain an even, friendly demeanor while on the job.
They escort clients and patients to clean, empty exam rooms free of persistent, offensive odors; accurately weigh the pet on the correct scale; assist clients to their cars if necessary; offer water to clients or patients in need. They keep the reception area clean and organized by dusting, picking up trash, and organizing the work area. They clean exam rooms between clients, sweep, clean the exam table and instruments, and restock rooms.
They always keep coffee stocked and available for clients.
Client Coordinators must be in close communication with the assistants/technicians, announce to the assistants that the next exam room has been loaded, have knowledge of timing with all appointments, and understand the flow of the entire hospital during the workday. They work closely with CSR’s, building positive professional relationships with clients and staff. They should have completed their high school diploma and pursue on‑the‑job training.
Education- High School Diploma or GED required
- 1+ years experience in retail sales or customer service preferred
- Experience in a medical facility desired
- Effective customer service principles
- Basic medical terminology
- Basic proficiency with computer programs including Microsoft Office Suite
- Basic written, verbal, and active listening communication skills
- Strong customer relations and interpersonal skills
- Diplomacy and tact in sensitive situations
- Prioritizes work and handles multiple tasks with frequent interruptions
- Strong organizational and time management skills
- Proactive response to requests
- Attention to detail and high accuracy
Regularly required to talk, hear, use a computer for long periods, walk/stand, bend, reach, grasp, and perform repetitive motions. Exposure to disinfectants, pet dander, and excretions. Low to moderate noise levels. Must be able to lift up to 30 lbs unassisted and 50 lbs with assistance. Must work flexible hours, including evenings and weekends.
