Our Client has a requirement for a Bid Coordinator, who will be required to work on a contract basis in Leatherhead.
RolePurpose:
- Provide coordination, administration and proposal support throughout the bid lifecycle.
- Work closely with Bid Managers, Capture Managers, Subject Matter Experts, Commercial, Finance and Business Development teams.
- Ensure bid activities remain on track and key deadlines are met.
- Coordinate stakeholder engagement, clarification responses and proposal development activities.
- Support the successful delivery of multiple bid opportunities.
- Develop a career within Bid Management, Capture Management and Business Development.

Role Responsibilities: - Support Bid Managers with bid delivery from opportunity qualification through to submission.
- Maintain bid plans, schedules and action trackers.
- Monitor progress and follow up on outstanding actions.
- Coordinate clarification requests and stakeholder responses.
- Track deadlines and maintain clarification logs.
- Organise bid meetings, workshops and reviews.
- Prepare agendas, meeting packs and meeting minutes.
- Coordinate customer presentations and proposal materials.
- Maintain bid plans, resource schedules and communications.
- Build strong working relationships across internal teams.
- Support compliance reviews, document control and bid libraries.
- Assist with supplier engagement, lessons learned activities and bid reporting.
Qualifications:
Essential
- Experience in bid coordination, proposal support, project administration, project coordination or a similar business support role.
- Strong organisational and multitasking abilities.
- Experience coordinating meetings, managing actions and delivering against deadlines.
- Excellent written and verbal communication skills.
- High attention to detail and ability to manage multiple concurrent activities.
- Experience working within collaborative and matrix organisations.
- Understanding of bid and proposal processes.
- Strong Microsoft Office skills, particularly Word, PowerPoint, Excel, Outlook and Teams.
- Experience maintaining trackers, schedules and document repositories.
- Strong document formatting and presentation preparation skills.
- A-Level, vocational qualification or equivalent experience.
- Experience with in Defence, Nuclear, Engineering, Consultancy or Public Sector environments.
- Familiarity with public sector procurement processes.
- Understanding of APMP and Shipley principles.
- Bachelor's degree in Business, Communications, Project Management or a related discipline.
- APMP Foundation Certification or working towards accreditation.
- Relevant business administration or project coordination qualifications.
