Patient Administration
- Acknowledging new patient records
- Register new patient records
- Sort and date‑stamp all incoming patient related mail
- Scan documents onto the clinical systems
- Manage medical requests and respond accordingly
- Ensure correspondence is appropriately actioned when the clinician is not required to view it
- Locate documents as needed by the clinical and non‑clinical user
- Carry out other administration related tasks as delegated by supervisor/manager
- Greeting and booking in patients for surgeries and clinics
- Deal with patient enquiries efficiently and courteously
- Signpost patients to the correct service
- Initiate contact with and respond to requests from patients, team members, and external agencies
- Input data into patient health records as necessary
- Direct requests for information (e.g., SARs, insurance, DVLA forms) to the relevant team
- Manage all queries promptly and efficiently
- Carry out system searches as requested
- Always maintain a clean, tidy and effective working area
- Support all clinical team’s general tasks as requested
- Ensure visitors and telephone callers to the practice are greeted professionally
- Ensure all telephone calls are managed appropriately
- Ensure all e‑requests are dealt with
- Manage the flow of patients arriving at the reception desk for appointments, prescriptions, or queries
- Administer the e‑consultation process
- Ensure specimens are ready for the daily courier driver
- Work in accordance with written protocols
- Scan documents onto the EMIS system
- Open and distribute practice post and ensure outgoing post is documented in the post book
- Change details on EMIS as required
- Provide administrative support including typing referral letters, arranging appointments with secondary care, and follow‑up arrangements as required (e.g., choose and book)
- Deal with patient notes, tasks, and screen messages from colleagues
- Deal with all patients, their relatives/carers and external agencies in a caring and professional manner
- Perform general secretarial duties
- Handle telephone enquiries to and from patients, secretaries, and colleagues at hospitals and outside agencies
- Undertake routine clinical administration duties and other tasks relevant to the role
Essential
