Expense Associate

Sharp Consultancy are supporting a prestigious and well known organisation in Leeds with an excellent reputation to recruit two Expense Associates. Both roles are for 12 months on a fixed term contract basis.

Reporting to the Accounts Payable Manager you will be responsible for expense processing and compliance.

Your duties will include:

• Processing manual and electronic expense claims, including e-expenses and IR35/IR35 exemption forms, in line with agreed Service Level Agreements (SLAs).
• Review and validate expense claims to ensure compliance with the organisations expense policy, ensuring adherence to HMRC roles and tax requirements.
• Ensure prompt submission of approved claims for payment processing.
• You will also act as a key point of contact for expenses queries via email, and digital platforms (e.g., Teams), responding to all queries in a timely, professional, and customer-focused manner.
• You will Investigate and resolve issues efficiently, maintaining a full audit trail of communications and provide support on expenses policies, procedures, and payment timelines.
• You will be responsible for all financial controls and assurance, performing detailed checks on mileage claims and travel advances, ensuring appropriate reconciliation and timely clearance.
• Production of routine monthly reports.
• Completion of SAP Journals as appropriate.
• Assist in the preparation of accruals for outstanding expense claims at month-end and financial year-end.
• Support financial reconciliation activities relating to expenses and travel.
• Contribute to the ongoing development and improvement of expenses processes, systems, and controls.
