Job Summary
This is a part‑time position (24 hours per week) on Monday, Wednesday and Friday. Working days are non‑negotiable.
The Facilities Lead supports the Operations Manager/Practice Business Manager in overseeing all aspects of practice facilities management across our sites.
Key responsibilities include motivating and managing staff, optimizing efficiency, promoting ED&I, SHEF, quality improvement and continuous improvement initiatives, maintaining confidentiality, collaborating effectively, ensuring compliance with CQC regulations and standards.
Main Responsibilities- Act as the primary contact for the cleaning contractor and landlords.
- Liaise with external contractors for maintenance, servicing and repair works.
- Conduct internal building checks and audits across both premises.
- Ensure day‑to‑day operation of the buildings runs smoothly.
- Order consumables and replacement items (e.g. kitchen equipment, office furniture, signage).
- Arrange repairs and maintenance through qualified contractors when required.
- Act as the main point of contact for IT issues, including faults, upgrades and system requirements.
- Support new starters with access to Practice IT systems (email, shared mailboxes, smart‑card access).
- Ensure compliance with all building, health and safety regulations, CQC regulations and standards.
- Maintain Significant Event recording (LFPSE).
- Support the development and review of Practice policies and procedures.
- Maintain and update the Business Continuity Plan.
- Liaise with the Practice Business Manager regarding third‑party contractual agreements.
- Support the Operations Manager with medical student placements.
- Ensure staff awareness of premises management, health and safety, risk assessments and mandatory training.
- Identify trends and devise solutions to reduce risk and significant events.
- Support continuous improvement and change initiatives.
- GCSE Grade AC (or equivalent) in English and Maths.
- Experience working within a GP Practice.
- Experience using Systm One clinical system.
- Experience with Microsoft Office applications.
- Good written and verbal communication skills.
- Previous experience of managing contractors and maintaining effective working relationships with third‑party suppliers.
