Healthcare Administration, Office Administrator/ Coordinator
The Business Assistant will provide comprehensive administrative and secretarial support to the Community Therapy Leadership Team and the Operational Transformation Lead across several services covering Leicester, Leicestershire and Rutland. The role requires hybrid working, travel to multiple bases, and working both independently and as part of the CHS Business and Administration Team. Flexibility, resilience and the ability to work under pressure are essential.

Main duties of the job- Effective diary management, booking meetings and events, organising resources and refreshments, preparing agendas, and taking accurate minutes with clear action tracking.
- Book dates and travel within the region, use MS Office suite (Outlook, Word, Excel, PowerPoint, Teams) including data collation and formulas.
- Prepare high‑quality written materials: minutes, patient correspondence, reports, briefings and presentations; manage electronic and paper filing systems, version control.
- Handle confidential patient and staff information professionally; escalated issues when required.
- Transcribe documents from digital audio dictation or handwritten notes, manage incoming calls, record clear messages and relay them promptly.
- Input and retrieve information from the Electronic Patient Record system (Systm One).
- Provide administrative cover during planned or unplanned absences, support office systems, manage patient referrals in line with service specifications.
- Maintain compliance with mandatory training, professional development, supervision, reviews and appraisals.

Qualifications- Previous NHS experience and competence in Systm One.
- Excellent verbal and written communication skills, ability to translate information into accurate emails, letters, minutes.
- Strong proficiency across Microsoft Office:
Outlook, Word, Excel (including data collation and formulas), PowerPoint, Teams. - Organisational skills: planning, prioritising workload, managing electronic and paper systems.
- Ability to handle confidential information with professionalism and escalations.
