We're looking for a proactive, organised and customer-focused Third Party Management Assistant to join our Neighbourhoods team at PA Housing.
This is an exciting opportunity to support the delivery of high-quality services across our home ownership schemes by providing administrative and operational support to the Third Party Management team. You'll play an important role in coordinating contracts, supporting performance monitoring, managing key projects and making sure residents receive the excellent service they expect.
Working closely with third party management team, managing agents, contractors, residents and colleagues across the organisation, you'll help ensure third-party services are delivered efficiently, contractual obligations are met and accurate records are maintained. You'll also support the coordination of various projects, contract administration, financial processes and resident communications, contributing to the smooth running of the service.

- Provide day to day administrative and coordination support to the Third Party Management team
- Maintain accurate records for contracts, variations, performance information and compliance requirements
- Update trackers, collate information and prepare reports to support contract monitoring and decision making
- Process purchase orders, work orders and invoices in line with financial procedures
- Respond to enquiries by email, telephone and face to face, ensuring customers receive a timely and helpful service
- Take minutes at contract review meetings, resident meetings and internal team meetings
- Maintain accurate and up to date information across systems including NEC, Halo, SharePoint and central trackers
- Support projects by coordinating information between internal teams, managing agents and residents
- Work closely with Neighbourhood Coordinators and Third Party Management Officers to provide a joined up service
- Build positive relationships with contractors and other external stakeholders to support contract performance and resident satisfaction
- Help ensure information is clear, accurate and available to support compliance and audit requirements
- Look for ways to improve processes, strengthen service delivery and provide better outcomes for residents
We’d love to hear from you if you:
- Have experience working in an administrative role, ideally within contract management or service delivery
- Have experience dealing with customers, contractors and internal teams
- Are confident handling invoices, purchase orders and reconciliations
- Have experience taking accurate minutes and producing clear reports
- Are highly organised and able to manage several tasks and deadlines at once
- Have good attention to detail and take pride in maintaining accurate records
- Are confident using Microsoft Word, Excel and Outlook
- Can analyse information and present it clearly
- Have a good understanding of customer service and how to build positive relationships
- Have an understanding of social housing, property services or estate management
- Are proactive, adaptable and comfortable using your initiative to get things done
- Bring a positive, collaborative and solutions focused approach to your work
