Job Summary
We are seeking a proactive and detail-oriented Estate Agent Administrator to join our dynamic property team. In this vital role, you will provide comprehensive administrative support to ensure smooth day-to-day operations within the estate agency. Your energetic approach and excellent organizational skills will help facilitate efficient property transactions, maintain accurate records, and deliver exceptional customer service. Responsibilities- Manage and update property listings using CRM software, ensuring all information is accurate and current
- Coordinate appointments, viewings, and client meetings with effective scheduling and communication
- Prepare and process sales administration documentation, including contracts, offers, and agreements
- Utilize Microsoft Office tools such as Word, Excel, PowerPoint, and Outlook to produce reports, presentations, and correspondence
- Maintain organized records of property transactions, client details, and communication logs
- Provide exceptional customer service by responding promptly to inquiries via phone or email in fluent English
- Support the sales team with administrative tasks such as data entry, filing, and database management using Sage or similar accounting software
- Assist in preparing marketing materials and presentations to promote properties effectively
- Collaborate with colleagues across departments to ensure seamless workflow and timely completion of tasks
- Proven administrative experience within a fast-paced environment, preferably in real estate or sales administration
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Familiarity with CRM software systems for managing client relationships and property data
- Experience using Sage or similar financial software for invoicing or accounting tasks is advantageous
- Excellent communication skills in English with the ability to convey information clearly and professionally
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Knowledge of IT systems relevant to office administration and property management is preferred
