About The Job

Responsible for providing secretarial support for all employees within an assigned nursing unit. Provides superior customer service to patients and visitors on a given unit.

Primary Duties and Responsibilities
  • Contribute to the achievement of established department goals and objectives and adhere to department policies, procedures, quality standards, and safety standards.
  • Comply with governmental and accreditation regulations.
  • Communicate clearly using customer‑focused principles.
  • Receive, greet and direct patients, visitors, and hospital personnel.
  • Receive and distribute mail, flowers, and various other items for patients on the unit.
  • Assist physicians and nursing staff with clerical needs as required.
  • Assist the Department Director, Clinical Coordinator, and Charge Nurse as directed.
  • Answer the call system and deliver messages to the appropriate staff member.
  • Function as a communication liaison during emergency situations and STAT requests/orders.
  • Request/advice Bed Board/Patient Care Supervisor of all admissions, transfers, discharges, and expirations.
  • Faxes patient assignments and staffing information to the staffing office and ancillary departments.
  • Place calls to relay orders for consults to appropriate physicians or clinicians.
  • Log calls placed into consult log and follow up to ensure consult messages are received and acted upon.
  • Maintain an adequate quantity of supplies and equipment inventory; order and maintain copies of unit material as needed.
  • Initiate, assemble, and maintain the physical integrity of electronic and hard‑copy patient medical records.
  • Fax patient information to requested health‑care providers in accordance with HIPAA guidelines.
  • Perform specialized tasks specific to each department by maintaining the required skills.
Qualifications
  • High school diploma or GED required (or equivalent).
  • Experience in a medical clerical/medical receptionist position preferred.
  • Completion of nurse technician/medical assistant/medical clerical training preferred.
  • Equivalent hospital experience preferred.
