OverviewThe Compliance & Privacy Coordinator reports to the Chief Compliance Officer. and assists in the implementation and maintenance of Beebe Health’s compliance program. The coordinator is responsible for monitoring, reporting, preparing training materials, and conducting investigations, as well as supporting compliance Audit and Compliance by preparing the agendas and slide decks. This position assists in the development, implementation, maintenance of the organization Compliance, Internal Audit and Privacy policies, procedures and guidelines, as well as monitoring compliance with all relevant Privacy and confidentiality rules and regulations mandated by federal and state laws.
This role serves as a compliance and privacy consultant and provides routine input, guidance and education to Beebe team members and coordinates the monthly exclusion checking process and the investigation and response to all compliance hotline calls.
System Management
- Collaborates with hotline, sanction and exclusion, and privacy monitoring system vendors to enhance functionality for data analysis and reporting.
Monitoring & Audits
- Partners with the Managed Privacy Services vendor to conduct and document privacy investigations.
- Completes Break-the-Glass and other EMR-related audits.
- Prepares documentation for external auditors and responds to audit requests.
- Coordinates and executes audits per the audit plan and Compliance Officer requests.
- Supports internal risk assessments in collaboration with the Compliance Officer, audit firm, and leadership.
- Monitors compliance with policies and procedures, including electronic health record access, to detect breaches and weaknesses in privacy/security safeguards.
- Performs monthly OIG/SAM and state sanction exclusion screenings for all team members, medical staff, ordering physicians, board members, and vendors.
Investigations
- Coordinates investigations with Privacy Managed Services, Human Resources, and relevant management to address potential privacy violations.
- Investigates and mitigates reports of inappropriate PHI access and patient privacy concerns.
- Responds to internal and external PHI breach inquiries within Department of Health and Human Services (HHS) timelines.
- Notifies the Chief Compliance Officer of significant events and provides ongoing updates until resolution.
- Investigates positive identifications from exclusion screenings and reports findings to the Chief Compliance Officer.
Reporting
- Collaborates with Health Information Management to fulfill Accounting of Disclosures requests within OCR-defined timelines.
- Develops quarterly compliance and privacy reports using software tools and in partnership with the data and analytics team.
Policy & Procedures
- Reviews, recommends, and updates Compliance and Privacy policies, standards, and procedures to align with current regulations.
- Works with relevant departments to revise policies and navigate the approval process (FPAC).
Communication
- Maintains up-to-date knowledge of Compliance and Privacy regulations.
- Communicates effectively with federal/state agencies, medical staff, leadership, team members, and patients.
- Assists in developing educational content for Compliance training.
- Partners with Information Systems Security Analysts and Managers to create technical safeguards and organizational communications.
Training & Education
- Designs and delivers training programs on compliance and privacy policies and regulations for the workforce.
- Develops targeted training and communication strategies based on identified root causes to promote continuous improvement.
Experience & Education Required
- Minimum of five (5) years of progressively responsible experience in a healthcare setting, preferably within an acute care environment.
- Demonstrated knowledge of basic corporate compliance principles.
- Strong understanding of HIPAA and Privacy regulations, with practical experience applying these standards in a healthcare context.
Skills & Competencies
- Strong critical thinking and problem-solving abilities.
- Excellent organizational skills with the ability to work independently and collaboratively in a team environment.
- Capable of managing tasks with minimal supervision.
- Effective interpersonal skills; able to engage with staff at all levels and the patient population.
- Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint.
