Accounting Clerk

Description We are looking for an Accounting Clerk to support day-to-day financial operations in Lexington, Kentucky. This role is responsible for handling both receivables and payables, maintaining accurate records, and helping ensure timely processing of customer and vendor transactions. The ideal candidate brings strong attention to detail, solid accounting support experience, and the ability to work across departments to resolve discrepancies efficiently.

Responsibilities:

- Manage incoming payments, post cash receipts to customer accounts, and keep accounts receivable records current and accurate.

- Prepare daily deposit documentation, record banking activity, and assist with month-end cash reconciliation against bank reporting.

- Create and distribute customer invoices while verifying shipment and order documentation to confirm billing accuracy.

- Research payment discrepancies, customer claims, returns, chargebacks, and non-sufficient-funds items, then apply credits or adjustments as appropriate.

- Follow up with customers regarding outstanding balances and coordinate with internal teams to address billing, shipping, or purchase order issues affecting payment.

- Process vendor invoices by validating supporting documentation, applying correct general ledger coding, securing approvals, and entering details into the accounting system.

- Support payment cycles by preparing reports for review, issuing approved vendor payments, and maintaining organized records of completed transactions.

- Review vendor account activity to resolve missing invoices, unapplied credits, unusual balances, and other account exceptions.

- Administer related financial records such as sales tax support files, expense reimbursements, petty cash activity, credit card documentation, and insurance or vehicle records as needed.

- Maintain accounting files throughout the year, including project-related documentation and year-end records retention activities. Requirements - At least 2 years of experience in an accounting support role with exposure to both accounts payable and accounts receivable functions.

- Working knowledge of invoice entry, payment processing, cash application, and account reconciliation procedures.

- Experience performing accurate data entry and maintaining organized financial documentation.

- Familiarity with three-way matching and assigning proper general ledger codes to invoices.

- Ability to investigate discrepancies and communicate effectively with customers, vendors, and internal departments.

- Proficiency with accounting software and standard business applications used for reporting and transaction processing.

- Strong attention to detail, time management skills, and the ability to handle multiple priorities in a deadline-driven environment.
