ASHBA is looking for a Registry Associate. Reporting into to the Registrar, as our newest Registry Associate you will be responsible for the processing of registry transactions including registrations, transfers of ownership, name changes, and stallion service reports. This role involves managing documents, updating horse records in the database, providing customer service via phone and email, and assisting with the coordination of mailings and other registry operations.
The Registry Associate plays a key role in maintaining accurate records and ensuring confidentiality while delivering high-quality service to members.
- Process incoming registry transactions received by mail, email, and online submission
- Review, process, and manage applications for registration, ownership transfers, name changes, and stallion service reports
- Update and maintain horse records in the database with a high degree of accuracy
- Manage and organize physical and digital documents, including registration certificates.
- Coordinate outgoing mailings related to registry processes
- Maintain organized filing systems for registry documents
- Provide professional customer service via phone and email, assisting members with registry-related questions and concerns
- Maintain confidentiality of all member and registration information
- Assist registry staff with additional duties as needed
- Strong proficiency with Microsoft Office Suite
- Experience with Zoom or other conference systems
- Excellent attention to detail and accuracy in data entry and document handling
- Strong written and verbal communication skills, especially in customer service interactions
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Knowledge and/or experience in the horse industry or experience working with other equine organizations preferred
- Ability to stand for extended periods during certain tasks
- Commitment to maintaining confidentiality regarding member and registry information
- Willingness to work occasional evenings and weekends for meetings and events
- Occasional travel, evening, and weekend work for meetings and events is required
