Main duties of the jobWe are seeking a highly skilled and enthusiastic Network Administrator to support our busy team. This is a 6‑month fixed‑term, full‑time position offering 37.5 hours per week. The post holder will be based at Leyland House, Leyland Business Park and will be aligned with a specific team within the Children’s Therapy Service for the Central and West Locality, while supporting all Children’s Therapy Teams across the Service.
This post will also provide reception cover at Adlington Clinic.
The role involves managing the administrative process from referral to first appointment. Key responsibilities include booking appointments using EMIS, handling telephone enquiries, monitoring waiting lists, and liaising with clinical teams. The post holder will coordinate administrative activities to ensure delivery of a confidential, efficient, and high‑quality service.
Job responsibilities- First point of contact for the unit/department – greet visitors, manage sign‑in, and direct to staff or appropriate area.
- Manage departmental meetings: diary management, room booking, and document management.
- Answer telephones, take and forward messages, ensuring prompt, courteous, non‑judgemental responses.
- Respond to queries, handling routine matters and escalating complex queries to the Team Leader.
- Ensure reception/work area is presentable, organised, and confidential information is protected.
- Cover reception duties as required.
- Support clerical officers – receive, allocate and dispatch departmental mail (internal and external).
- Provide administrative support: typing routine information (reports, minutes, correspondence), filing, and scanning documents.
- Photocopy, scan, collate and distribute documents as directed.
- Work collaboratively with management teams and clinicians to notify appropriate leads of urgent matters and ensure timely resolution.
- Attend and participate in team meetings and administrative meetings to support integrated team service delivery.
- Assist in running an efficient appointment system: process routine referrals, send patient letters/information, and distribute to appropriate clinic teams.

Person Specification Education / Qualification- Business Administrative qualification at NVQ Level 3 / RSA 3 or equivalent experience
- ECDL or equivalent
- GCSE English Language and Mathematics A–C
- Knowledge of a range of secretarial duties
- Good understanding of Microsoft Office applications
- Knowledge of Safeguarding Agenda
- Good understanding and knowledge of working with databases
- Experience in a secretarial role
- Data inputting and checking
- Experience in a customer service environment
- Administration of meetings – organising, minute‑taking, document management
- Diary management
- Excellent communication skills, both verbal and written
- Proofreading skills
- Ability to travel to cover different locations within the service
