Position OverviewWe are seeking an ethical, highly organized, dependable, and motivated Operations Assistant for our client in Liberty Lake, WA. This role serves as the connection point between the front and back office. It is an excellent opportunity for someone passionate about streamlining processes and making a meaningful impact within a dynamic organization. This person is often the first point of contact for clients, whether they call or stop by the office, so excellent customer service skills are essential.
As an Operations Assistant, you will support the daily operations of the company to ensure everything runs smoothly. Responsibilities include providing clerical support to investment advisors during securities transactions, maintaining accurate records, and managing client data. This role requires a team-oriented mindset, the ability to manage confidential information, and excellent organizational skills. The ideal candidate will thrive on delivering outstanding customer service and contributing to the success of the organization.
Key Responsibilities and Duties- Answer incoming phone calls and route them to the appropriate person.
- Process incoming and outgoing mail.
- Deposit checks and facilitate client bank account transfers, including IRA distributions, charitable donations, and estate transfers.
- Enter trades and transactions into systems with accuracy and attention to detail.
- Provide exceptional customer service, both over the phone and in person, addressing client needs professionally and courteously.
- Set up client accounts and manage related administrative tasks.
- Use industry-specific platforms (e.g., Smart Station) to manage tasks (training provided).
- Perform administrative duties such as data entry and document preparation.
- Other duties as assigned.
Skills and Qualifications
- Experience:
3–5 years of work experience in an office environment; work experience in financial or other regulated industries is highly preferred. - Licensing: A Series 99 license is required for this job. Candidates who do not currently possess one must have the willingness and ability to obtain a Series 99 license within the first three months of employment (company-paid).
- Education:
High school diploma or GED is required. Post‑high school education can substitute for up to two years of the required work experience. - Skills:
- Strong attention to detail, ethical conduct, dependability, and self‑motivation.
- Ability to work both independently and as part of a team.
- Proficiency in Microsoft Word and Outlook; general computer literacy.
- Willingness to learn and use industry‑specific platforms like Smart Station.
- Ability to manage confidential information with professionalism and discretion.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Commitment to delivering exceptional customer service.
- Must pass a background check.
- Schedule:
Office environment hours of operation are 7:00 AM to 4:00 PM, Monday through Friday. - Location:
This is an on‑site position; remote work is not available. - Workplace:
Based in Liberty Lake, WA, at an office location featuring abundant free parking and convenient freeway access.
Compensation:
This position is paid hourly, with a starting pay range of $19.23–$24.51 per hour. The specific rate will depend on the candidate’s experience, education, and suitability. Based on a 40‑hour work week, this equates to an annual salary of $40,000–$50,000. Additionally, a discretionary annual bonus is available based on company performance.
