HOURS OF WORK:5 days out of 7 – to include evenings and weekends
Job PurposeThe Wedding & Events Administrative Assistant will provide efficient administrative and customer service support to the Weddings & Events team at Roe Valley Resort. The role will support the smooth coordination of wedding and event enquiries, appointments, operational communication and event administration.
This is a highly organised role that requires excellent attention to detail, strong communication skills and a professional, friendly approach when dealing with customers and internal teams. The successful candidate will be confident communicating with customers and providing a high standard of customer service.
Key Responsibilities- Handle telephone and email communication in a professional and helpful manner
- Assist with the initial response to wedding and event enquiries, ensuring all enquiries are responded to in a timely and professional manner.
- Be confident communicating with customers and providing a high standard of customer service.
- Maintain accurate records relating to weddings and events, ensuring information is updated in a timely manner.
- Support the Weddings & Events team with general administration and reporting requirements.
- Ensure all relevant information is accurately recorded on the appropriate systems.
- Prepare and issue weekly business sheets for the Operations team, ensuring all relevant information for the week ahead is accurate and up to date.
- Update business sheets promptly when changes are made to wedding or event details.
- Ensure operational departments are kept informed of relevant changes to upcoming weddings and events.
- Coordinate the preparation and printing of wedding and event stationery, including menus, table plans and other relevant event materials ensuring they are accurate and professionally presented.
- Excellent customer service and communication skills.
- Strong written and verbal communication skills.
- Excellent attention to detail and a high level of accuracy.
- Good literacy and numeracy skills.
- Strong organisational and administrative skills.
- Ability to manage multiple tasks and prioritise workload effectively.
- Good IT skills and confidence in using computer systems and Microsoft Office applications.
- Ability to work independently and as part of a wider team.
