We’re looking for a proactive Administrative Assistant to support our design team and ensure projects run smoothly from start to finish.
About the RoleAs an Administrative Assistant, you’ll be the right hand to one of our lead designers. You’ll help manage schedules, track progress, and keep communication flowing between clients, subcontractors, vendors, and internal teams. You’ll anticipate needs, solve problems before they arise, and keep the designer focused and on task.
This is not a role for someone who waits to be told what to do. You’ll be empowered to take initiative, organize information, and make sure nothing slips through the cracks.
Key Responsibilities- Manage the lead designer’s schedule, appointments, and project timelines.
- Keep projects organized by maintaining clear notes, documentation, and follow-up lists.
- Provide reminders and updates to keep the designer on track with priorities and deadlines.
- Communicate with clients, subcontractors, and vendors to confirm details, gather information, and ensure everyone remains aligned.
- Obtain accurate pricing, bids, and product information.
- Follow company standards and processes for communication, project tracking, and documentation.
- Anticipate needs and proactively take care of tasks or information before being asked.
- Support with general administrative duties as needed, including data entry, file management, and assisting with presentations or client deliverables.
- Exceptionally organized and detail oriented.
- A proactive problem-solver who takes initiative.
- A great communicator; professional, clear, and friendly.
- Skilled at managing multiple priorities and staying composed under pressure.
- Comfortable taking and organizing detailed notes and action items.
- Tech-savvy and efficient with digital tools (design-related software experience is a plus).
As an interior design firm, we have a lot of furniture coming through and physical strength is required. Candidates must be able to lift 50lbs and stand or walk for extended periods of time. Because our clients are widespread, overtime or travel may be required. Candidates must be able to perform in environments of varying temperature, noise conditions, and personalities. Must report to work timely, as directed by management.
