What We're Looking For Experience Previous experience in office administration, office coordination, operations or a similar role. Experience in professional services would be helpful but is not essential.

About the role This is a varied, hands-on role at the centre of the business. Your main responsibility will be the day-to-day running of our Camden office, ensuring our team has the environment, equipment and support they need to work effectively. You will also work closely with and support our Practice Director, alongside providing administrative support across the wider business.
We need someone who understands that the small things matter. Keeping the office tidy, the kitchen fully stocked, desks organised, stationery fully stocked, printers working and small IT or maintenance issues dealt with quickly all contribute to making Jaffe & Company a great place to work. Just as importantly, the role helps create the culture around the office through things like welcoming visitors, preparing meeting rooms properly and organising team socials.
Responsibilities:
Office Management Ensure the office, meeting rooms, kitchens and communal areas are organised, stocked and ready for use. Manage office supplies, groceries, Friday lunches, fruit, coffee, post, couriers and other regular deliveries. Keep the office running smoothly by dealing with equipment, maintenance and minor IT issues, and arranging external support when needed. Organise socials and internal events and coordinate practical health and safety requirements including first aiders and fire marshals.
Proactively identify and resolve day-to-day office issues rather than waiting to be asked. Practice Director & Business Administration Provide administrative support to the Practice Director across business, operational and financial matters. Support with financial administration, including allocating client payments, payment chasing and debt collection administration. Support projects and recurring administrative processes across the business. Help ensure important administrative tasks are completed accurately and on time.
People & Wider Team Support Coordinate employee onboarding and offboarding, including IT access, equipment, desk set-up and relevant administration. Maintain and improve onboarding, offboarding and other operational checklists. Help maintain a positive office culture by organising birthday cards, cakes and gifts, and making sure team occasions are recognised and celebrated. Monitor shared inboxes and provide cover for the Client Services team and Managing Partner's Executive Assistant when required.
Support calls, meetings, visitors, databases, document administration and other general office requirements.
