Position SummaryThe Export Account Representative is responsible for supporting customers through assigned export accounts. This role requires booking shipments, arranging cargo movement, resolving operational issues, and maintaining accurate documentation while communicating effectively with internal teams, carriers, and customers. The position demands attention to detail, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
General Responsibilities- Administer the export process and ensure accurate and timely execution of shipments
- Provide customer service through clear, accurate, and timely communication
- Communicate professionally with external partners including carriers, shipping agents, and freight forwarders
- Work closely with internal departments to ensure timely and accurate flow of information
- Perform primary and backup duties as assigned by management
- Stay current with industry requirements and regulations, including U.S. Customs and Border Protection and customer-specific requirements
- Acknowledge and manage disputes in accordance with established dispute resolution processes
- Identify root causes of operational issues and assist in preventing future occurrences
- Execute loss reporting and analysis procedures as required
- Attend meetings and participate by being prepared, on time, and following up on assigned action items
- Upload backup documentation and file notes to ensure transparency and record accuracy
- Contact receiving lines, vendors, or internal team members to expedite processes and resolve issues
- Arrange container drayage with approved trucking partners
- Coordinate additional services such as fumigation, stripping, and offloading as needed
- Complete bookings within required time frames from authorization to confirmation
- Create and process export documents, including Bills of Lading, Dock Receipts, and Truck Receipts
- Track and manage booking changes and communicate updates to relevant parties
- Manage disputes in a timely manner and work with approved vendors for resolution
- Communicate clearly and professionally using internal tools and systems
- Participate in company training and adapt to industry standards or customer requirement changes
- Assist with maintaining a monthly content calendar and coordinating with marketing teams
- Post approved content on social media and support content development with internal teams
- Bachelor’s degree or equivalent experience required
- Minimum of five (5) years of experience in import/export operations required
- Working knowledge of export booking and documentation processes
- Experience with Customer Relationship Management (CRM) systems and the ability to learn new software
- Strong customer service skills, including listening, negotiation, follow-up, and deadline management
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- Demonstrated problem-solving skills with the ability to make sound decisions based on accurate and timely analysis
