Accessioning Supervisor
Linden, NJ
Monday - Friday 11pm-7:30am
Responsibilities- Supervise daily accessioning operations, ensuring timely and accurate receipt, verification, and entry of incoming materials/items into the tracking or collections management system.
- Assign, train, and monitor accessioning staff; set priorities, balance workloads, and provide coaching to meet productivity and quality targets.
- Review accession records for completeness and compliance with internal standards, regulatory requirements, and/or professional best practices.
- Establish and maintain accessioning workflows, SOPs, and quality‑control checks to ensure consistency, traceability, and correct chain‑of‑custody.
- Coordinate with internal partners (e.g., Curatorial/Collections, Lab/Repository, Records, Inventory, Shipping/Receiving, Quality, or IT) to resolve discrepancies, missing documentation, or condition concerns.
- Ensure proper initial labeling, barcoding, numbering, and physical handling of materials, including adherence to preservation, safety, or biohazard protocols when applicable.
- Conduct periodic audits and reconciliations between physical holdings and system records; lead corrective actions and process improvements.
- Track and report key metrics (volume, turnaround time, error rates), identify trends, and recommend operational enhancements.
- Support implementation and testing of system upgrades or new tools affecting accessioning, including staff training and change management.
- Maintain a safe, organized work environment and enforce relevant security, confidentiality, and workplace safety policies.
- Bachelor's degree in a relevant field (e.g., library/information science, museum/archives studies, supply chain, biology/biomedical sciences, or related discipline) or equivalent experience.
- 3+ years of hands‑on accessioning/receiving/intake, inventory control, collections management, or comparable operations experience, including at least 1 year in a lead or supervisory role.
- Demonstrated knowledge of accessioning principles: documentation standards, numbering/identification systems, chain‑of‑custody, and quality assurance.
- Proficiency with relevant tracking systems (e.g., collections management software, LIMS, ERP, or inventory databases) and strong data‑entry accuracy.
- Experience writing, maintaining, and training others on SOPs and workflow documentation.
- Strong organizational and problem‑solving skills, with ability to manage multiple priorities in a fast‑paced environment.
- Effective communication and collaboration skills across teams and levels, including conflict resolution and coaching.
- Ability to perform detailed, repetitive work with high accuracy; strong attention to detail.
- Comfort with basic reporting/metrics (Excel/Google Sheets or equivalent).
- Ability to lift/move materials as needed and work in specialized environments (e.g., warehouse, cold storage, lab, secure collections), with appropriate PPE adherence if required.
- Preferred: familiarity with relevant standards/regulations for the field (e.g., SPECTRUM, AAM/ALA best practices, ISO, CLIA/CAP, GMP/GLP, or similar), depending on organization type.
