Position Overview:
Living Water Clinic-Clinica Agua Viva is seeking a proactive and detail-oriented Administrative Assistant to join our growing team. This individual will play a key role in supporting clinic operations, enhancing communication, and ensuring smooth day-to-day administrative functions. The ideal candidate is organized, professional, tech-savvy, and committed to delivering excellent service in a healthcare environment.
Summary of Responsibilities:
- Serve as the first point of contact for patients, visitors, and staff with a welcoming and professional demeanor
- Answer and direct phone calls, manage messages, and route inquiries appropriately
- Schedule and coordinate appointments, meetings, and calendars using digital tools
- Maintain accurate and confidential patient records in accordance with HIPAA regulations
- Support clinic managers with general administrative tasks and special projects
- Order and manage office and medical supplies to support daily operations
- Utilize tools like Google Workspace, Microsoft Office, and Zoom to complete tasks efficiently
- Assist with marketing efforts and communication to promote clinic services
- Help foster a positive workplace culture aligned with the mission and values of Living Water Clinic
- Occasionally support with errands and off-site tasks as needed
- Act as a liaison between management and clinical/front desk staff
Education & Certification:
- Associate’s Degree required;
Bachelor’s Degree in Business, Healthcare Administration, or related field preferred
Preferred Qualifications:
- At least one (1) year of experience in an administrative, office, or customer service role
- Experience in a healthcare or clinical setting preferred
- Proficient in Microsoft Office, Google Workspace, and basic computer troubleshooting
- Familiarity with electronic medical records (EMR) systems a plus
- Bilingual in English and Spanish strongly preferred
