Surgical Secretary, Band 3 – Colorectal Surgery – Gloucestershire Hospitals NHS Foundation Trust

If you relish a challenge and have a passion for helping others, this permanent 37.5‑hour a week role offers you the opportunity to support the Colorectal Surgery team within a fast‑paced environment. You will provide a comprehensive administrative service to a busy consultant surgeon and our patients, working Monday to Friday.
Responsibilities- Diary management, correspondence, referrals, phone calls, and email management for the consultant surgeon.
- First point of contact for patients, GPs, family members and external organisations, exercising initiative and judgement to handle enquiries efficiently.
- Manage and oversee the elective surgery waiting list and plan surgical admissions.
- Audio‑type a variety of documents from dictation, requiring a sound understanding of medical terminology.
- Maintain confidentiality of sensitive information in compliance with NHS data protection policies.
- Track results, appointments and highlight any outstanding patient queries to the clinical team, ensuring RTT guidelines are met.
- Support the Central Booking Office to achieve clinic utilisation targets.
- Provide specialty‑specific support, including diary management, training session arrangements, and liaison with external organisations such as social services.
- Use specialty databases to record patient information, conduct audits, and contribute to service improvement initiatives.
- Assist in the resolution of patient complaints by collating information and escalating appropriately.
- Undertake routine office tasks such as electronic note tracking, photocopying, faxing, filing, and maintaining records.
- Participate in training, induction and offer cross‑cover during absences, supporting a flexible, team‑based approach.
- Perform physical tasks such as moving medical notes (up to 15 kg) and using a visual display unit throughout the day.
- Maintain high concentration levels to prioritise tasks and respond accurately to audio‑typing demands.
- GCSE English and Mathematics at Grade C or above, or equivalent.
- Typewriting/word processing RSA Level 3 or equivalent practical experience.
- Proficient use of Microsoft Office and hospital computer systems.
- Excellent verbal and written communication skills with a strong command of English, punctuation and grammar.
- Experience dealing with members of the public.
- Prioritising workloads and using organisational skills in a busy office setting.
- Experience as a medical secretary, hospital or NHS service.
- Data entry and database management in an electronic records environment.
- Effective telephone manner to minimise conflict and maintain the organisation’s reputation.
- Fast and accurate keyboard skills.
- Working knowledge of Microsoft Office (Word, Excel, Outlook/Diary).
- Attention to detail and data validation skills.
- Confidentiality and data‑protection awareness.

£25,760 to £27,476 a year (pay adjusted pro‑rata for part‑time).
