Charity Jobs NI is delighted to be recruiting exclusively on behalf of Lisburn Enterprise Organisation for a Receptionist / Administrator to provide professional front-of-house and administrative support across the day-to-day running of the Enterprise Centre.

This is an excellent opportunity for an experienced administrator who enjoys working in a varied, people-facing role combining reception duties, customer service, office administration, programme support, meeting coordination and social media activity.

The successful candidate will play an important role in ensuring visitors, licensees, clients and callers receive a welcoming, efficient and professional service, while supporting the smooth operation of the wider organisation.

This is a full-time, office-based role.

Hours of Work

36.25 hours per week, Monday to Friday

9.00am5.00pm

Salary and Benefits

£27,560 per annum, equivalent to approximately £14.62 per hour.

About Lisburn Enterprise Organisation

Established in 1990, Lisburn Enterprise Organisation is an independent, not-for-profit organisation dedicated to promoting an entrepreneurial culture, supporting business start-ups and helping established businesses grow.

The organisation provides guidance and advice, business premises, conference facilities, administrative support and virtual-office services, supporting business development at both a strategic and operational level.

Lisburn Enterprise Organisation is overseen by a voluntary Board of Directors representing public and private sector interests and maintains strong partnerships with organisations including Lisburn & Castlereagh City Council, South Eastern Regional College, Enterprise Northern Ireland and Invest Northern Ireland.

The Role

The Receptionist / Administrator will provide an efficient and professional reception service while delivering wide-ranging administrative support to internal colleagues, licensees, programme participants and external clients.

The role will involve managing the switchboard and reception area, property administration, processing mail, coordinating meetings and room hire, maintaining office supplies and equipment, supporting business programmes and helping to promote the organisations conference and virtual-office services.

This role may also appeal to candidates searching for positions such as Reception Administrator, Front of House Administrator, Office Administrator, Business Centre Administrator or Administrative Assistant.

Key Responsibilities

The successful candidate will:

  • Provide a professional reception and switchboard service, welcoming visitors, managing calls and responding to enquiries.
  • Process incoming and outgoing mail and parcels, maintain client postage records and complete weekly reconciliations.
  • Coordinate meetings, appointments and room hire, including room preparation and hospitality arrangements.
  • Provide general administrative and secretarial support, including typing, scanning, filing, photocopying and processing client payments.
  • Support Business Advisers and programmes through CRM updates, client registration, diary management, correspondence and record keeping.
  • Keep a record of contractors signing in and out of the building and issue keys when required.
  • Promote conference and meeting facilities, virtual office services, available workspace and business support programmes through online and offline channels, including Facebook and Instagram.
  • Maintain office supplies and equipment, liaise with suppliers and support the efficient day-to-day operation of the organisation.

Applicants should be able to demonstrate:

  • GCSE-level education or equivalent, including English and Maths at grades AC.
  • At least one years experience working within an office and front-of-house environment.
