As our Client Experience Specialist
, you won’t just greet clients—you’ll shape the entire arrival-to-follow-up experience. You’ll be the connective tissue between clients, advisors, and operations, making sure every interaction feels effortless, personalized, and on-brand.

Role Description What You’ll Own- Be the warm, polished first point of contact, in person, by phone, and digitally, creating a consistent and memorable Vantage Point experience.
- Learn each client’s preferences and communication style to deliver high-touch, relationship-driven service.
- Handle inbound client needs with confidence and urgency, ensuring clients feel known, prioritized, and cared for.
- Maintain a clean, professional, welcoming office environment that reflects our firm’s standards and culture.
- Support basic client service tasks in Schwab Advisor Center, including account support workflows, document processing, and service requests.
- Coordinate with advisors and operations to ensure every service item is completed accurately and on time.
- Proactively track follow-ups, paperwork status, and client deliverables so nothing slips through the cracks.
- Develop a working understanding of how a wealth management firm operates—accounts, planning cadence, client lifecycle, and service standards.
- Manage the client review calendar from end to end: scheduling, confirming, preparing, and ensuring meetings run smoothly.
- Communicate clearly with clients before and after meetings to keep them informed and engaged.
- Assist advisors and internal teams with meeting materials and room prep.
- Support planning and execution of client events, ensuring a premium, seamless experience.
- Provide administrative support at educational seminars.
- Maintain supplies, office systems, and day-to-day operational readiness.
- Provide administrative support including mail handling, document preparation, and meeting set up.
- Have 5+ years of experience in a client-facing administrative, hospitality, concierge, or executive support role.

- Are tech-comfortable and quick to learn new platforms (Microsoft Office required; CRM/Schwab experience a plus).
- Have experience in financial services, investment management, banking, or insurance—or are highly motivated to learn the industry quickly.
- Experience with Schwab Advisor Center or similar custodian platforms.
- Familiarity with wealth management or financial planning environments.
- Experience supporting event logistics or high-touch client experiences.
