Part-Time Executive Assistant / Office Manager

As we scale in 2026, we are seeking a tech‑savvy, solutions‑oriented Executive Assistant / Office Manager to support daily operations, manage listing and transaction workflows, and help deliver polished client and community experiences.

This is an ideal role for someone who loves organization, systems, technology, and being the engine that keeps a successful business running smoothly.

The Role

This position plays a critical role in listing operations, transaction support, office management, and client experience. You will work closely with Mony and Sophaline to ensure every listing, transaction, and event is executed with precision and care.

You’ll be managing details, timelines, vendors, and systems—so our clients experience a seamless, professional process from start to finish.

Key Responsibilities Listing & Transaction Operations
  • Manage Pre‑Listing tasks, including scheduling inspections, coordinating photographers, videographers, and stagers, and preparing listing timelines and checklists.
  • Support active transactions by coordinating with Escrow officers, lenders, and vendors, managing documents and deadlines, tracking key milestones from listing to close, and ensuring all steps are completed accurately and on time.
Project Management
  • Use  as the central hub for listing operations, transaction workflows, internal projects, and deadlines.
  • Maintain boards, task assignments, timelines, and status updates.
  • Proactively flag issues and keep projects moving forward.
Administrative & Office Management
  • Manage calendars, appointments, and scheduling.
  • Maintain organized digital and physical filing systems.
  • Handle correspondence, document preparation, and internal coordination.
  • Manage office supplies, vendors, and day‑to‑day office needs.
  • Run local errands as needed (valid driver’s license required).
Technology & Systems
  • Advanced/Expert use of Google Workspace (Gmail, Calendar, Drive, Docs, Sheets).
  • Utilize Microsoft 365 platforms as needed.
  • Work within real‑estate CRM platforms (experience a plus).
  • Leverage ChatGPT and AI tools to improve efficiency, templates, and workflows.
  • Assist with light reporting, data entry, and process optimization.
Client Appreciation & Event Support
  • Assist in planning and executing two client appreciation events per year.
  • Coordinate vendors, timelines, invitations, and logistics.
  • Support event setup, breakdown, and follow‑up.
  • Help ensure events align with the team’s brand and high client‑care standards.

  • Able to work in‑office in Downtown Livermore, be onsite at listed properties, client events, etc.

Real estate experience is a plus but not required — we value the right attitude, systems thinking, and follow‑through.
